Job Summary & Responsibilities

The Billing Administrator is primarily responsible for job tasks associated with billing, including but not limited to preparing and issuing invoices, verifying billing data, and ensuring billing tasks are completed timely and accurately. The individual must possess excellent numerical and data entry skills, and strong attention to detail. Must have effective communication and interpersonal skills, the ability to work independently, and the ability to prioritize tasks and meet deadlines in a fast-paced environment.

Job Responsibilities:

  • Ensuring accurate and proper customer onboarding into Sage Intacct.
  • Updating customer information as needed.
  • Reviewing billing documents for accuracy and completeness, resolving any discrepancies as needed.
  • Preparing and assembling documentation to ensure complete billing invoice packages prior to distribution.
  • Ensuring all billing is allocated to the proper departments.
  • Assisting the operations team in all billing requests and issues.
  • Assisting in investigating and resolving billing discrepancies and errors.
  • Communicating with the operations team to answer billing inquiries and resolve payment issues.
  • Collaborating with internal teams, to ensure seamless billing processes and clean month end closings.
  • Maintaining proper documentation of billing activities.
  • Generating reports related to billing activities and account receivables.
  • Performing special projects delegated from management as needed.

Key Interactions:

  • Engagement with all leaders and stakeholders.
  • Engagement with all employees organizationally as needed.
  • Partnership with the Billing Team.

Requirements (Knowledge, Abilities, Skills, and Education and/or Experience:

  • Proven experience as a Billing Specialist, Admin or similar role.
  • Excellent numerical and data entry skills.
  • Strong attention to detail and accuracy.
  • Proficiency in using MS Excel.
  • Experience with billing software Sage Intacct a plus but not required.
  • Effective communication and interpersonal skills.
  • Ability to work independently and prioritize tasks effectively.
  • Ability to prioritize tasks and meet deadlines in a fast-paced environment.

Working Conditions and/or Physical Requirements

  • Office-based role.
  • Attention to detail, organization skills, and the ability to work in various physical positions, including standing, sitting, and walking.
