Our client is looking for a Billing & Finance Specialist to support accurate billing, financial record keeping, and day-to-day financial administration within a growing legal practice. Their firm operates in the real estate legal sector, supporting sophisticated commercial and high-value residential transactions while continuing to expand their team and transactional capabilities.
In this role, the Billing & Finance Specialist will help ensure that billing and financial information is processed accurately, organized consistently, and maintained with a high level of attention to detail. The ideal candidate is methodical, dependable, comfortable working with numbers and financial records, and able to identify discrepancies before they become larger issues.
- Manage and support day-to-day billing and finance-related activities for the firm.
- Prepare, review, and process client invoices with a strong focus on accuracy and completeness.
- Maintain organized and up-to-date billing and financial records.
- Review financial information and supporting documentation to identify inconsistencies, missing information, or errors.
- Track outstanding billing items and follow up as needed to keep financial processes moving efficiently.
- Assist with accounts receivable and payment tracking activities.
- Accurately enter, update, and maintain financial data within the firm's systems and records.
- Reconcile billing information, payments, and related financial records when required.
- Coordinate with attorneys and internal team members to obtain information necessary for accurate and timely billing.
- Maintain clear documentation related to invoices, payments, expenses, and other financial activities.
- Assist with financial reporting and administrative finance tasks as needed.
- Help maintain consistent billing procedures and identify opportunities to improve accuracy and efficiency.
- Handle confidential client and financial information with professionalism and discretion.
- Prioritize multiple financial tasks while maintaining accuracy and meeting deadlines.
Requirements
- Exceptional attention to detail and a strong commitment to accuracy.
- Experience working with billing, finance, accounting, bookkeeping, or similar financial responsibilities.
- Strong numerical and data-entry accuracy.
- Ability to review financial information carefully and identify discrepancies or errors.
- Strong organizational and time management skills.
- Ability to maintain accurate and well-organized financial records.
- Comfortable handling confidential financial and client information.
- Ability to work independently and manage recurring deadlines in a remote environment.
- Strong written and verbal communication skills.
- Proficiency with spreadsheets and common business productivity tools.
- Previous experience in a Billing Specialist, Finance Assistant, Accounting Assistant, Bookkeeper, Accounts Receivable, or similar role is preferred.
- Experience supporting a professional services organization, law firm, real estate company, or similar environment is a plus.
- Familiarity with invoicing, accounts receivable, payment tracking, reconciliations, and financial reporting is preferred.
- Experience with accounting, billing, or legal practice management software is beneficial.
- Strong analytical and problem-solving skills.
- Ability to maintain consistency and precision when performing repetitive or detail-intensive work.
