IOA's Community Events Coordinator will develop and facilitate a comprehensive special events program to generate qualified referrals for key IOA programs and Education events.
Through the combination of online and in-person activities, the Community Events Coordinator will increase community engagement and brand awareness through caregiver education, referral networking opportunities, conferences, and other organized events.

Essential Job Functions:

  • Maintain a thorough knowledge of key IOA programs including Support at Home and Companioa service offerings, and demonstrate consistent messaging through social media and community presentations.
  • In collaboration with marketing and program leaders, will execute the annual marketing plan and budget for events, and allocate spending for reimbursement in a timely manner.
  • Promote monthly marketing calendar, which is developed in conjunction with IOA's DEIB Director, through social media, community outreach and events; provide input on strategic plan, promotional items and written resources resulting in an organizational toolkit.
  • Collaborate with Support at Home and Companioa program leaders to develop event marketing materials and maintain adequate supply of promotional items for appearances at conferences and community events. 
  • Plan, facilitate and support referral source relationships via virtual meetings to inform organizations of Support at Home and Companioa services, onsite networking events and VIP tours of the Enrichment Center; collaborate with other team members as needed.
  • Participate in weekly business development meeting with Support at Home and Companioa teams; provide input to support outreach efforts of other team members as needed.
  • Organize, promote, and facilitate bi-monthly community events at the Enrichment Center to include dementia-specific caregiver education, professional lectures, pop-up tables at the Presidio, client/family appreciation and other opportunities that bring people to the Enrichment Center.
  • Work closely with Learning and Development to plan, promote and facilitate educational offerings, which are mostly virtual; help develop annual education calendar with cross-promotion of other IOA service line offerings. 
  • Identify areas of opportunity for technology events to engage new participants and position IOA as a tech leader in the aging space.
  • Identify areas of opportunity for CalAIM Enhanced Care Management development through community-facing events; work in conjunction with HR to identify events for caregiver recruitment.
  • Organize IOA’s participation in outside events including local conferences, memberships, and fundraisers to increase IOA’s visibility and brand awareness in the community.
  • Plan donor engagement events with the Philanthropy Department to engage and attract new donors.
  • In collaboration with Marketing and Philanthropy Departments, plan and execute IOA’s annual fundraising gala event.
  • Track and analyze event activities to determine ROI including qualified leads added to the pipeline and new referral source relationships.
  • Send, track, and follow up on mailings for key IOA events.
  • Obtain quotes from sites and vendors related to event planning.
  • In collaboration with the Education Department, help identify speakers for training events.
  • Manage invoice and billing as it relates to event expenses, including promotions.
  • Actively participate in additional team meetings as needed.
  • Other duties as assigned.

Qualifications and Skills:

  • Bachelor’s Degree a plus but not required.
  • Four (4) years’ experience in events planning or related field.
  • Demonstrate knowledge of care for elderly adults and adults with disabilities.
  • Excellent planning, organization, and presentation skills.
  • Able to effectively communicate with speakers, attendees and event stakeholders.
  • Strong customer service skills with the ability to work well on a team.
  • Able to work weekends and evenings as needed. Driver's license required, having a car is preferable.
  • Computer proficiency in MS Word, Excel, and Outlook; familiarity with WordPress; ability to use a CRM.

Compensation

  • $71,000 - $84,000 annually

This amount is not necessarily reflective of actual compensation that may be earned, nor a promise of any specific pay for any specific employee, which is always dependent on actual experience, education, and other factors.

This range does not include any additional equity, benefits, or other non-monetary compensation which may be included.

Travel Requirements: 25% Bay Area Territories (Marin, SF, South Bay, EB); on-site office at Geary.
