About The Role:
This is a 1099 contract role. We’re looking for a highly organized and proactive Office Coordinator to ensure our workplace runs efficiently. In this role, you’ll manage daily office operations, provide administrative support, and create a welcoming environment for employees and visitors. If you thrive in a fast-paced setting and love keeping things in order, we’d love to hear from you!

This role will be a physical on-site position, Monday to Friday, from 8am to 5pm PST.

What You Will Do:

  • Provide a high level of customer service and support to employees and visitors, and be the go-to person for office needs

  • Answering and directing phone calls.

  • Greet employees & visitors with a professional and friendly manner, notifying the respective hosts of their arrival.

  • Champion Drivemode’s culture through an exceptional workplace experience and serve as the advocate for employees' needs.

  • Maintain and manage the conference rooms and kitchen, keeping them well-organized and stocked.

  • Monitoring inventory for office and break room supplies.

  • Support the workplace lead with onboarding/offboarding 

  • Coordinate weekly catering for Drivemode team and New Hire lunches.  

What We Are Looking For

  • At least 2 years of experience in the workplace, customer service or administrative support

  • A genuine passion for creating an exceptional workplace that fosters collaboration and creativity among employees.

  • Ability to manage multiple projects and responsibilities simultaneously.

  • Excellent time management and organizational skills, including the ability to prioritize tasks and meet deadlines.

  • Excellent customer service skills with the ability to identify and address employees' needs effectively

  • Great interpersonal skills, friendly, service-oriented personality that is oriented

  • Strong written and verbal communication skills

  • Proficient in G-Suite and Slack

Nice to Have:

  • Japanese fluency
