We are seeking a highly motivated, process-driven, and detail-oriented Events Senior Specialist to join our team as an independent contractor focused on the execution of tradeshows and field marketing events. This role will own the end-to-end operational planning and on-site execution of events, including tradeshows, regional industry events, partner events, and field marketing events. 

Reporting to the Senior Manager, Events, the Events Senior Specialist this role is designed for an experience event producer who can independently manage complex events from kickoff through execution with minimal oversight. This role owns executional decision-making, event budgets, timelines, project management, and delivery for its assigned tradeshows and field marketing events, ensuring consistent, high quality outcomes across all events.

What you’ll do:
The Events Senior Specialist will independently own and execute multiple high-volume tradeshows and field marketing events, applying strong project management, financial discipline, and operational excellence to deliver consistent, high quality outcomes.

  • Tradeshow and Field Marketing Event Execution (Primary Focus)

    • Execute end-to-end logistical planning and coordination for tradeshows and field marketing events, including venue sourcing and contracting, registration setup, event marketing support, staffing and resource allocation, vendor coordination, and on-site execution.

    • Manage tradeshows from start to finish, overseeing booth orders, space planning, shipping and logistics, vendor relations, and all required show deliverables.

    • Serve as the primary project manager for assigned events, establishing and managing timelines, tracking deliverables, and ensuring internal teams and external partners meet all deadlines.

    • Collaborate cross-functionally with Customer Marketing, Integrated Marketing, Demand Generation, Creative, Sales, Business Development, Marketing Operations, and external exhibit partners to deliver cohesive, high-quality events.

    • Partner closely with Sales and Customer Success teams to ensure event readiness, including staffing plans, schedules, messaging alignment, lead capture setup, and on-site resources.

  • Budget & Financial Management

    • Own financial accountability for assigned tradeshows and field marketing events, including budget development, forecasting, and spend tracking.

    • Monitor actuals against forecasts, proactively identifying risks, overages, and opportunities for optimization.

    • Partner with the Senior Manager of Events to ensure financial visibility, alignment, and informed decision-making throughout the event lifecycle.

  • Cross-Functional & Stakeholder Partnership

  • Lead executional coordination across internal teams, serving as the central owner responsible for driving alignment, accountability, and progress.

  • Translate event requirements into clear, actionable plans for Sales, Customer Success, Demand Generation, Creative, Marketing Operations, and Business Development.

  • Ensure customer-facing teams are operationally prepared for events, including staffing, messaging alignment, and lead capture readiness.

  • Vendor & Systems Ownership

    • Own day-to-day management of external vendors and service partners, ensuring scope, timelines, and deliverables are met.

    • Maintain operational oversight of event workflows, resolving issues quickly and effectively in fast-paced environments.

    • Execute events using core event systems and tools, including:

      • Cvent for registration, event setup, and reporting

      • Salesforce for lead flow, attribution, and post-event reporting

      • Captello for on-site lead capture and scanning

      • Airtable for project management, timelines, manifests, and reporting

What you'll bring: 

  • Experience: 5+ years of hands-on event management experience with a strong focus on tradeshows and field marketing events in a fast-paced, high-volume environment.

  • End-to-End Ownership: Proven ability to independently own and execute events from planning through on-site delivery, managing timelines, budgets, and deliverables with minimal oversight.

  • Project Management Excellence: Demonstrated success managing complex event programs with multiple concurrent workstreams, internal stakeholders, and external vendors.

  • Financial Acumen: Experience owning event-level budgets, tracking forecasts vs. actuals, and proactively managing financial risks and trade-offs.

  • Tool Proficiency: Strong working knowledge of Cvent, Salesforce, Captello, and Airtable, with the ability to use these tools to manage registration, lead capture, reporting, and operational workflows.

  • Operational Rigor: Highly detail-oriented with a disciplined, process-driven approach to execution and follow-through.

  • Communication & Stakeholder Management: Clear, confident communicator who can effectively partner with Sales, Customer Success, Marketing, Creative, and external vendors.

  • On-Site Execution Strength: Calm and solutions-oriented under pressure, with the ability to troubleshoot issues in real time during live events.

  • Adaptability: Comfortable operating in dynamic environments with shifting priorities and tight timelines.

  • Travel: Willingness to travel as needed to support on-site execution of tradeshows and field marketing events.
