C3 AI is seeking an Executive Assistant to join the Office of the CEO as part of a broader team supporting the Chief Executive Officer. This role is focused on supporting the CEO’s written communications and day-to-day workflow — reading, triaging, and drafting on the CEO’s behalf across email, memos, and other correspondence, and ensuring follow-through on the CEO’s commitments. The Executive Assistant will operate as a trusted extension of the CEO’s voice, exercising sharp judgment on tone, priority, and execution. The role requires availability during early morning and late evening hours to align with the CEO’s working rhythm. The role is located onsite at our Redwood City, CA office.

Responsibilities:
  • Inbound Triage: Monitor inbound communications to the CEO across email and other channels throughout the day. Read, categorize, and prioritize messages from executives, Board members, customers, investors, partners, and employees. Surface what requires the CEO’s direct attention and route the rest to the appropriate owner.
  • Drafting and Correspondence: Draft replies, follow-ups, memos, and outbound communications on the CEO’s behalf in the CEO’s voice. Ensure messages are crisp, accurate, and appropriately toned for the audience — from a one-line acknowledgment to a multi-paragraph executive response.
  • Follow-Through: Track commitments made by the CEO, ensure responses and next steps are completed within expected timelines, and close loops on outstanding items. Maintain a clear view of what is open, pending, and resolved.
  • Coordination with the CEO Office: Partner closely with the broader CEO Office team to ensure communications-driven actions are reflected across calendar, meetings, and other executive workflows.
  • Information Routing: Capture context from communications and pass it cleanly to the right internal owner — executive team, legal, finance, communications, or others — so the CEO’s priorities drive action without bottlenecks.
  • Confidentiality: Handle highly sensitive business, strategic, and executive information with absolute discretion at all times.
Qualifications:
  • 7+ years of experience in an Executive Assistant, communications, or chief-of-staff-adjacent role supporting a C-suite executive.
  • Bachelor’s degree required.
  • Exceptional written communication; demonstrated ability to write quickly, clearly, and in another person’s voice across formal and informal registers.
  • Outstanding judgment on tone, priority, and audience; able to distinguish what merits the CEO’s direct response from what should be redirected or declined.
  • Meticulous attention to detail and follow-through; nothing slips, nothing is forgotten.
  • Availability during early morning and late evening hours to align with the CEO’s working rhythm, including responsiveness across global time zones.
  • High EQ and professional poise; comfortable corresponding on the CEO’s behalf with Board members, public-company executives, investors, and customers.
  • Fluent with Microsoft 365 and modern AI tools used to accelerate drafting and triage; hands-on experience with Claude strongly preferred.
  • Absolute discretion and integrity in handling confidential information.
Preferred Qualifications:
  • Prior experience drafting correspondence on behalf of a CEO at a public company or late-stage technology company.
  • Background in communications, executive support, journalism, or a writing-intensive professional discipline.
  • Experience operating as part of a CEO Office or executive staff team.

Candidates must be authorized to work in the United States without the need for current or future company sponsorship.

$150,000$250,000 USD
