As the Executive Assistant to the Chief Financial Officer, you will provide high-level administrative and coordination support that helps the CFO manage priorities across the finance organization. You will serve as a trusted partner and key point of coordination across finance, executive leadership, and internal and external stakeholders. This role supports the CFO by managing schedules, communications, materials, meetings, travel, follow-through, and special projects with discretion and sound judgment. You will help improve day-to-day operating efficiency by anticipating needs, organizing information, and using technology and automation tools to streamline routine workflows.

Key Responsibilities

  • Serve as a trusted executive partner and extension of the CFO, providing proactive, high-level administrative and operational support that enables the CFO to focus on the company’s highest-priority financial, strategic, and business objectives

  • Strategically manage the CFO’s complex and dynamic calendar, including prioritizing meetings, resolving schedule conflicts, anticipating preparation needs, and ensuring alignment with Finance, executive leadership, Board, investor, and enterprise business priorities.

  • Coordinate complex domestic and international travel, including detailed itineraries, logistics, meeting coordination, transportation, accommodations, and timely expense reporting, ensuring a seamless executive experience for CFO and his direct reports.

  • Prepare, refine, and manage executive-level presentations, reports, agendas, correspondence, briefing materials, and other documents for Finance leadership meetings, business reviews, Board preparation, investor-related meetings, and external stakeholder engagements.

  • Support the operating rhythm of the CFO’s office by planning and facilitating Finance and leadership meetings, coordinating logistics, preparing materials, capturing key discussion points, tracking decisions, and driving follow-up on action items to ensure accountability and execution.

  • Serve as a polished and professional liaison between the CFO and key internal and external stakeholders, including executive leadership, Board members, investors, auditors, banking partners, external advisors, Finance leaders, and cross-functional business partners.

  • Handle highly confidential financial, business, organizational, personnel, and strategic information with the highest degree of discretion, sound judgment, professionalism, and appropriate escalation

  • Anticipate needs, identify potential issues, independently resolve or route matters appropriately, and help ensure the CFO is prepared, informed, and positioned for effective decision-making.

  • Support special projects, Finance leadership offsites, executive events, communications, administrative systems, process improvements, and workflow optimization on behalf of the CFO and Finance leadership team.

  • Partner closely with other executive assistants and administrative teams to ensure alignment, coordination, and consistency across the senior leadership team.

Building Blocks for Success

Required

  • Demonstrated experience supporting complex executive calendars, travel, expense reporting, meeting logistics, executive communications, and administrative workflows in a fast-paced environment.

  • Experience preparing, editing, and refining executive-level presentations, reports, agendas, correspondence, briefing materials, and meeting materials with a high degree of accuracy and polish.

  • Advanced proficiency in Microsoft Office and collaboration tools, including Outlook, PowerPoint, Excel, Teams, and related productivity platforms.

  • Proven ability to manage confidential and sensitive financial, business, organizational, and executive-level information with discretion, sound judgment, and professionalism.

  • Strong business judgment and the ability to manage competing priorities, shifting deadlines, and high-volume requests with urgency, accuracy, composure, and follow-through.

  • Excellent written and verbal communication skills, with the executive presence and professionalism to interact effectively with senior leaders, Board members, external stakeholders, and cross-functional partners.

  • Ability to work independently, anticipate needs, exercise sound judgment, take ownership from start to finish, escalate appropriately, and ensure decisions and action items are followed through to completion.

  • Highly organized, detail-oriented, resourceful, and solutions-focused, with a demonstrated ability to operate effectively in a confidential, fast-paced, and executive-level environment.

  • Demonstrated flexibility and availability to support the CFO outside of standard business hours, as business needs require, including time-sensitive calendar changes, travel disruptions, executive communications, Board, investor, or leadership-related matters, and coordination across global time zones.

Preferred

  • Prior experience supporting a CFO, Finance executive, C-suite leader, or public company executive.

  • Experience supporting a Finance organization, global matrixed organization, Board meetings, investor meetings, earnings preparation, audit-related meetings, or executive leadership forums.

  • Experience supporting executive operating rhythms, leadership meeting cadences, offsites, business reviews, or cross-functional governance processes.

  • Experience working collaboratively with other executive assistants or administrative teams supporting senior leadership.

  • Bachelor’s degree preferred, or equivalent combination of education and experience.

  • Demonstrated willingness and capability to leverage emerging technology, automation, and AI tools to improve efficiency, quality, accuracy, and speed.
