The Role


 

The Executive Assistant to the CEO is a pivotal role at Emids, ensuring the CEO can operate at peak effectiveness across a fast-paced, global environment. This person will be a trusted partner — bringing order to complexity, anticipating needs before they arise, and handling sensitive matters with absolute discretion. The ideal candidate thrives at the intersection of strategic support and operational excellence and is equally comfortable managing a high-stakes client event as handling the day-to-day rhythm of a busy executive's life.


 


 

Key Responsibilities


 

Executive Support


 

  • Manage a complex, frequently changing CEO calendar and travel arrangements with a proactive, flexible approach — anticipating conflicts and resolving them before they become problems.

  • Develop and maintain systems and processes to keep the CEO organized, including tracking client interaction history, follow-up dates, and relationship-nurturing touchpoints to ensure timely deliverables and no dropped balls.

  • Coordinate and prioritize tasks, follow-ups, and projects for the CEO, ensuring deadlines are met and the CEO is always prepared.

  • We would like you to draft, prepare, and send correspondence on behalf of the CEO with precision and an understanding of tone, audience, and context.

  • Act as a primary point of contact between the CEO and internal and external stakeholders, representing the office with professionalism and warmth.

  • Please attend internal meetings as needed, take detailed notes, and make sure the CEO knows about all action items and deadlines.

  • Manage professional and personal correspondence and gifting for key occasions — including client milestones, holidays, sympathy, and celebrations.

  • Coordinate offsite events and meetings, including attendee management, logistics, materials, and post-event action tracking.

  • Handle ad-hoc tasks, special projects, and research as assigned.

  • Provide personal support as needed to maximize the CEO's time and focus.


 

Office Management — Princeton


 

  • In addition to executive support, this role serves as the Office Manager for Emids' Princeton office, ensuring the environment is professional, welcoming, and running smoothly for staff and visitors alike.

  • Oversee daily office operations and maintain a well-stocked, organized, and properly equipped workspace.

  • Liaise with building management to ensure the office remains safe, functional, and representative of Emids' standards.Coordinate and manage client and executive visits, ensuring a polished, seamless experience.


 


 

What We're Looking For


 

  • Extensive experience supporting C-suite executives, ideally at the CEO level; 10+ years of executive assistant experience preferred.

  • Proficient in Microsoft Office suite (Outlook, Word, Excel, PowerPoint) and comfortable adopting new tools.

  • Exceptional organizational and time management skills — able to juggle multiple priorities without losing the details.

  • Outstanding written and verbal communication skills; able to draft polished correspondence that reflects the CEO's voice.

  • High emotional intelligence with the ability to build positive relationships across all levels and geographies.

  • Unwavering discretion, confidentiality, and sound judgment — particularly when handling sensitive business or personal matters.

  • Self-directed and proactive; able to plan, coordinate, and execute independently.

  • Strong problem-solving instincts and calm under pressure.

  • Comfortable toggling between high-level strategic work and routine administrative tasks — no task is too big or too small.

  • Available outside standard business hours, including evenings and occasional weekends, to support an extremely active CEO schedule.
