About the Role

This is not a traditional EA role. As an Executive Assistant supporting a deep tech CEO through an active fundraising sprint, you will be the operational backbone of one of the most consequential moments in the company's history. You will make sure every investor email is answered within hours, every meeting is preceded by a thorough briefing document, and every follow-up lands within 24 hours — so that your principal can focus entirely on the work only they can do: telling the company story, building relationships, and closing the round.

Your principal is a self-aware, highly autonomous founder who processes information quickly and thinks in systems. They carry meaningful cognitive load around email, follow-up, and scheduling — and they are looking for someone who will absorb that load completely, from day one, without being asked twice. You will work alongside an existing EA shared across the founding team, coordinating on calendar matters with clear lanes and mutual respect.

Core Responsibilities
  • Investor Communications Ownership: Triage and manage the principal's inbox end-to-end via full Outlook delegation. Draft and send investor follow-ups, meeting confirmations, and thank-you notes in their voice. Ensure no email sits unanswered and no investor thread goes cold.

  • Investor Meeting Preparation: Prepare a tailored briefing document before every investor meeting — fund background, partner bios, investment thesis, relevant portfolio companies, and prior interaction history. Coordinate pitch materials and logistics in advance of each session.

  • Calendar Strategist: Own the principal's investor meeting calendar across multiple time zones (San Francisco and Berlin). Build in prep time, protect buffer between sessions, and resolve conflicts proactively. Coordinate with the existing EA to keep fundraising and broader company obligations aligned.

  • Follow-Up & Relationship Tracking: Send personalized thank-you correspondence within 24 hours of every meeting. Track investor interest, next steps, and commitments in a shared system. Manage follow-up sequences so no relationship loses momentum.

  • Travel & Logistics: Manage travel booking and itinerary coordination for the principal's San Francisco stay and any related travel. Handle day-of logistics — meeting locations, transportation, last-minute changes — with calm and precision.

  • Term Sheet & Due Diligence Support: As the process advances, coordinate term sheet logistics, due diligence requests, and data room management in close partnership with the principal and the broader team.

Skills and Qualifications
  • Experience: 5+ years of high-level executive support, with direct experience supporting a founder or executive through a capital raise. Familiarity with venture capital dynamics, investor communications, and fundraising operations is required.

  • Investor Communications Fluency: You understand what investor follow-ups should look like, what a briefing document should contain, and why response time is a form of credibility. You calibrate quickly to a principal's voice and draft communications that feel native to them.

  • Tech-Savvy: Microsoft Outlook native — full inbox and calendar delegation is the operating model. Also comfortable with project management platforms, CRMs, and shared tracking systems.

  • Core Strengths: Discreet, professionally mature, and built for a sprint. You thrive when the stakes are high and the pace is fast. You own the inbox completely, anticipate needs before being asked, and never require check-ins to stay effective.

  • German is a Plus: Not required, but a genuine differentiator given the company's international footprint and European investor base.

Work Environment
  • Location: San Francisco, CA (hybrid)

  • Geographical Focus: San Francisco/Bay area for in-person investor and client-facing moments as needed

Compensation and Benefits

Annual Compensation: The starting annual compensation for this role is expected to be in the range of $110,000 to $140,000, commensurate with skills and relevant experience.
