Provide high-quality, reliable support to senior leaders by ensuring seamless management of calendars, meetings, travel, and stakeholder engagements. This role demands precise execution, sound judgment, and a proactive mindset — enabling leadership to stay focused on strategic priorities without operational friction. The ideal candidate thrives in fast-moving, ambiguous environments, operates with a high degree of autonomy, and brings a genuine hunger to grow, learn, and contribute beyond the job description.
What You’ll Do (not inclusive)
1. Executive Calendar Management
- Own and manage complex, high-volume calendars for senior leaders across global time zones
- Prioritize meetings based on business importance, urgency, and leader bandwidth
- Coordinate across internal teams, customers, partners, and external stakeholders
- Proactively resolve scheduling conflicts and optimize time utilization
- Build in appropriate buffers, prep time, and follow-up windows
2. Travel Planning & Logistics
- Plan and manage domestic and international travel end-to-end
- Build detailed itineraries covering meetings, logistics, and contingency plans
- Handle last-minute changes with speed and minimal escalation
3. Event & Offsite Coordination
- Organize leadership offsites, team meetings, and customer events
- Manage full logistics to deliver a polished, professional experience from planning through execution
4. Administrative & Operational Support
- Manage expense reports, documentation, and administrative workflows
- Maintain organized records of schedules, meetings, travel, and commitments
- Support in-office needs: supplies, lunch orders
- Year-end and milestone gifting: employees, clients
- Handle ad hoc requests with a “no task too big or small” mindset
What You Bring
Experience
- Proven experience managing complex, multi-time zone calendars with competing priorities - the seniority of those you have supported matters less than your ability to own it
- Experience coordinating domestic and international travel end-to-end, including multi-leg itineraries and pivoting under pressure
- Background in a startup or high-growth environment strongly preferred — you know what it means to build the plane while flying it
- Experience supporting distributed or fully remote teams across multiple geographies
- Years of experience are not the bar — we care about ownership, judgment, passion and dedication to the overall goals
Requirements
- MS Office Suite - Outlook, Word, Excel, PowerPoint, SharePoint at a confident working level
- AI tools - A basic knowledge (paired with an extreme curiosity) of AI tools is a must.
- Availability across relevant time zones (EST–PST coverage expected)
- Reliable high-speed internet and a professional remote work setup
- Availability for occasional off-hours support during travel, events, or critical business moments
Budget - 70K to 80K (Including Base + Variable)
