Position Overview

We are seeking an exceptionally organized, proactive, and detail-oriented Executive Assistant to support our Chief Revenue Officer (CRO) and the broader team of Sales and Marketing Vice Presidents.

In this critical role, you will serve as an operational force multiplier across our entire commercial organization. You will streamline executive calendars, coordinate global travel and key leadership syncs, drive logistics for high-stakes customer visits and Quarterly Business Reviews (QBRs), and manage tactical workstreams in sales enablement and tool administration. The ideal candidate thrives in a fast-paced sales environment, excels at managing competing priorities, and possesses the discretion, communication skills, and initiative required to interact with key clients, internal executives, and global cross-functional partners.

Key Responsibilities:Executive & Administrative Support for Sales Leadership:
  1. Calendar Management & Schedule Optimization: Oversee complex, back-to-back schedules for the CRO and VP of Marketing across multiple global time zones (US, APAC, EMEA). Strategically protect focus time for executive strategy, slide deck preparation, and budget reviews.
  2. Cross-Functional Action Item Tracking: Attend key leadership syncs and cross-functional meetings; capture action items, update project trackers, and proactively follow up with owners across PR, Creative, Product, Finance, and Legal.
  3. Travel & Expense Management: Coordinate end-to-end travel logistics (flights, hotels, transport) for domestic and international sales trips and trade shows. Manage expense approvals, receipt collection compliance (via RAMP), and credit card program setups.
  4. Vendor & Procurement Logistics: Assist with agency onboarding, Statement of Work (SOW) tracking, and invoice processing for key marketing and sales partners.
Sales Enablement & Commercial Operational Workstreams:
  • Customer On-Site Visits & Executive Events: Serve as the primary point of contact for Account Executives (AEs) hosting clients on-site. Own conference room bookings, visitor access, and catering setups.
  • QBR & All-Hands Ownership:
    • Commercial Leadership Team (CLT) QBRs: Own end-to-end logistics including calendar management, distributing deck templates to Sales VPs, confirming external speakers, and organizing offsite activities, daily lunches, and team dinners.
    • GEO QBR Coordination: Manage template distribution to Geo VPs whenever updates occur, enabling regional VPs to handle localized scheduling seamlessly.
    • Commercial All-Hands: Monitor earnings call dates to schedule All-Hands meetings 1–2 weeks post-earnings. Build draft slide decks using existing templates and compile inputs from CLT members.
  • Sales Enablement Tool Administration: Provision and manage user onboarding/offboarding for revenue team tools, specifically Clari and LinkedIn Sales Navigator, to ensure seamless sales onboarding.
  • Field Sales & Team Directory Administration:
    • Oversee edits, approvals, and ordering for Field Operations and Sales team business cards.
    • Maintain a centralized team profile directory containing updated headshots, active org charts, team bios, and standardized executive/technical resumes.
    • Maintain an accurate team calendar tracking vacation blocks, maternity leave, coverage plans, and trade show travel across the department.
Qualifications & Requirements:
  • Experience: 4+ years of experience as an Executive Assistant, Sales Operations Coordinator, or similar role supporting C-suite or VP-level sales executives, preferably within a tech or high-growth B2B environment.
  • Tech Savvy: Proficiency with Google Workspace, project tracking tools, expense management platforms (e.g., RAMP), and revenue enablement software (Clari, LinkedIn Sales Navigator).
  • Event & Logistics Mastery: Proven track record of managing large-scale executive offsites, QBRs, customer visits, and commercial events from concept to completion.
  • Communication & Discretion: Exceptional written and verbal communication skills with high emotional intelligence, professionalism, and strict confidentiality.
  • Detail-Oriented & Self-Driven: Ability to ruthlessly prioritize in a high-velocity sales environment, anticipate leadership needs before they arise, and track complex action items across cross-functional departments.

The base pay will be dependent on your skills, work experience, location, and qualifications. This role may also be eligible for equity & benefits. ($100,000 - $155,000)
