ABOUT THE EXECUTIVE ASSISTANT

We’re looking for a highly visible, senior-level Executive Assistant to support C-suite leadership under the direction of the Senior Executive Assistant. 

This role requires an experienced professional who is comfortable operating in a fast-paced, high-stakes environment and has prior experience supporting senior executives (VP level or above). You will play a critical role in enablement of executive effectiveness by managing priorities, coordinating complex activities, and ensuring seamless day-to-day operations at the highest levels of the organization. 

Responsibilities

POSITION DESCRIPTION:

This role will provide comprehensive administrative support to C-Suite Executives under the direction of the Senior Executive Assistant, assisting with project tracking and cross-functional coordination. Other key responsibilities include:

  • Preparing for executive meetings by working under the direction of the Sr EA to organize agendas, briefing materials and any follow ups
  • Serving as a strategic partner to the Sr EA, supporting workflow optimization, process improvements and executive office efficiency
  • Maintaining a high level of organization, ensuring documents, files and communications are accurate and up to date
  • Representing the C-Suite as a professional and polished point of contact to both internal and external stakeholders
  • Handling sensitive information with the highest confidentiality and professionalism
  • Providing backup coverage for other Senior Executive Assistants as needed
  • Other related duties as required or directed
Qualifications

REQUIREMENTS

  • Education: Associate degree preferred.
  • 5+ years of health care related experience preferred.

REQUIRED SKILLS AND KNOWLEDGE

  • Demonstrated experience supporting senior leadership in complex organizations (healthcare, academic, or large corporate environments preferred).
  • Experience coordinating executive-level meetings, initiatives, and cross-functional activities.
  • Familiar with administrative systems and Health System structure.
  • Executive administrative skills required including proficiency in various computer software programs including:
    • Microsoft Word, Excel and PowerPoint
    • Numerical aptitude and grammatical and verbal skills
    • Versed in office procedures and protocol, with effective interpersonal skills.
    • Strong organizational and time management skills are mandatory
    • Excellent attention to detail and follow-up skills.
    • High Technical Aptitude and Advanced Excel skills, preferred.

WORK ENVIRONMENT

While the position will work in a normal office environment, travel to the various hospitals and work locations will be necessary. Work hours will vary from time to time depending upon the needs of the business. Regular and predictable on-site attendance is required for this position
