Executive Assistant
Overview
The Executive Assistant will provide comprehensive administrative support to executive leadership within the Office of the CEO. This individual plays a critical role in ensuring smooth day-to-day operational efficiency by managing complex schedules, coordinating meetings, and handling a wide range of administrative and business tasks for the CEO's Chief of Staff. Success in this role requires professionalism, discretion, excellent judgement, strong organizational skills, and the ability to operate independently in a fast-paced and highly visible environment.
The Executive Assistant will act as a key business partner, enabling the executive to focus on strategic priorities by proactively optimizing time, resources, and workflows.
Role
Executive & Administrative Support
- Performs general administrative duties to support daily operations and provides coordination across the team.
- Manages complex calendar scheduling across multiple time zones; optimizes meeting flow and manages access to the executive.
- Makes domestic and international travel arrangements with detailed itineraries, including flights, ground transportation, hotels, and visa processing when required.
- Processes and reconciles expense reports in accordance with company Travel & Entertainment policies; manages Purchasing Card transactions and department purchases ensuring alignment with budget and finance policies.
- Researches and resolves complex issues on behalf of the executive with a high level of confidentiality and tact.
- Serves as an administrative liaison with colleagues, customers, board members, government officials, and external partners.
Meeting, Event & Communication Management
- Plans and coordinates meetings, events, offsites, and engagements with both internal and external participants, including arranging venues, catering, technology support, and guest speakers.
- Prepares agendas, drafts correspondence, synthesizes meeting notes, and manages follow-ups to ensure accountability and progress.
- Creates, edits, and maintains presentations, briefings, reports, and other communications, often on behalf of executive leadership.
- Supports webcasts, leadership meetings, customer visits, and high-profile engagements, ensuring seamless delivery and readiness.
Operational & Departmental Support
- Supports the onboarding of new team members and ensures alignment with required processes and tools.
- Assists in preparing and maintaining departmental budgets; develops reports on budget status and compliance.
- Manages corporate applications and compliance programs (e.g., Access Management, Concur, Oracle, Vivo, and other internal tools).
- Utilizes spreadsheets or databases to track departmental information, monitor key programs, and generate reporting.
- Manages ad hoc projects, recurring processes, and operational activities such as quarterly reviews, planning cycles, and departmental communications.
- May coordinate the work of other administrative employees or temporary staff and serve as a resource to junior colleagues.
All About You
- College degree or equivalent professional experience.
- Extensive administrative experience supporting senior or executive-level leaders in a corporate, matrixed environment.
- Demonstrated ability to maintain a high degree of confidentiality, discretion, and professionalism.
- Experience managing complex relationships with internal and external stakeholders, including senior leaders, customers, and board-level participants.
- Strong capability in managing calendars, shifting priorities, and anticipating needs in fast-moving environments.
- Proven experience coordinating travel, events, and high-profile meetings requiring exceptional attention to detail.
- Strong communication skills, with the ability to draft and edit executive-level presentations, briefings, and correspondence.
- Advanced proficiency with Microsoft 365 or Google Workspace tools, including Outlook, PowerPoint, Excel, Teams, and collaboration platforms such as Copilot or Zoom.
- Experience in budget coordination, expense management, and departmental operations.
- Strong team player with high energy, initiative, and the ability to work both independently and collaboratively.
- Ability to thrive in ambiguous environments, manage competing demands, and exercise sound judgment.

In line with Mastercard's total compensation philosophy and assuming that the job will be performed in the US, the successful candidate will be offered a competitive base salary and may be eligible for an annual bonus or commissions depending on the role. The base salary offered may vary depending on multiple factors, including but not limited to location, job-related knowledge, skills, and experience. Mastercard benefits for full time (and certain part time) employees generally include: insurance (including medical, prescription drug, dental, vision, disability, life insurance); flexible spending account and health savings account; paid leaves (including 16 weeks of new parent leave and up to 20 days of bereavement leave); 80 hours of Paid Sick and Safe Time, 25 days of vacation time and 5 personal days, pro-rated based on date of hire; 10 annual paid U.S. observed holidays; 401k with a best-in-class company match; deferred compensation for eligible roles; fitness reimbursement or on-site fitness facilities; eligibility for tuition reimbursement; and many more.
