You’ll be supported by a tight-knit team of recruiters, coordinators, and cross-functional partners — all focused on hiring exceptional people to ensure AGI benefits everyone.

About the Role

We’re looking for an Executive Recruiting Coordinator to help deliver an exceptional candidate experience and support the hiring of OpenAI’s most senior, high-impact talent. You’ll work closely with our Executive Recruiting team to schedule interviews, manage logistics, and act as a trusted partner to candidates and internal stakeholders alike.

In this role, you will:
  • Own end-to-end scheduling for executive interviews — often across time zones, calendars, and last-minute changes.

  • Create an unforgettable candidate experience for in-office visits, coordinating with our Workplace and Catering teams to provide candidates with a comfortable and inviting experience.

  • Go above and beyond for unique or unconventional candidate experiences, such as external dinners, off-hours greets, and gift procurement.

  • Be the primary point of contact for candidates throughout their interview process, ensuring a seamless and thoughtful experience.

  • Partner with Executive Operations, Executive Assistants, and recruiters to coordinate complex and high-priority interview loops.

  • Manage candidate travel and sensitive communications with discretion and speed.

  • Support interviewer training logistics and maintain documentation in Ashby and Notion.

  • Identify and suggest ways to improve coordination processes, tools, and documentation as we scale.

You might thrive in this role if you:
  • Have 2+ years of executive or C-level recruiting coordination experience

  • Are detail-oriented and thrive in fast-paced, high-stakes, high-ambiguity settings where priorities shift quickly.

  • Are highly skilled in calendar tools (e.g. Google Calendar, Ashby) and collaboration platforms (e.g. Slack, Notion).

  • Communicate clearly and proactively, especially when navigating high-stakes or sensitive scheduling scenarios.

  • Care deeply about creating a world-class candidate experience and know how to deliver it consistently.

Bonus Points (Not Required):
  • Experience supporting executive recruiting at a tech company or fast-growing startup.

  • Familiarity with interviewer training logistics, feedback workflows, or recruiting ops tooling.

  • A process improvement mindset — you’ve contributed to better systems, documentation, or team operations.

  • Interest in the AI space or OpenAI’s mission.
