The Role

At a fast-growing startup, the people who keep everything running smoothly often have the biggest impact on company culture and team effectiveness. The Executive and Team Assistant at Motorq is one of those people.
This is a broad, high-trust role with four distinct areas of ownership: HR coordination, facilities and office management, employee engagement, and executive team support. You will be the operational heartbeat of Motorq's San Francisco office — the person who makes sure the space is welcoming, the team is informed, the leaders are where they need to be, and new employees feel genuinely set up for success from day one.
The ideal candidate is someone who is proactive rather than reactive, takes genuine pride in creating a great workplace experience, and can hold a wide range of responsibilities without dropping a ball. You will work closely with the leadership team and have visibility into many of the most important workstreams at the company — this is a role with real scope and real impact.

What You'll Do

  • Own end-to-end new hire onboarding and offboarding — coordinating with hiring managers, IT, and Finance to ensure every team member is fully set up from day one and every departure is handled smoothly.

  • Maintain employee records, HR documentation, and serve as the first point of contact for day-to-day HR coordination questions — benefits enrollment, PTO policies, and team policies.

  • Manage day-to-day operations of Motorq's San Francisco office — supplies, vendors, building management, and upkeep — ensuring a space the team is proud to work in and bring customers to.

  • Coordinate facilities needs for Motorq's global offices in Chennai, Bengaluru, and Seattle in partnership with local team leads, including vendor management and office setup for new locations.

  • Design and execute company events, team offsites, and culture initiatives that bring the Motorq team together — both in-person in SF and across our distributed offices.

  • Own internal communications — keeping the team informed about company news, events, and milestones in a timely and engaging way.

  • Manage complex, multi-timezone calendars and travel logistics for members of the leadership team — scheduling with precision, anticipating conflicts, and ensuring seamless itineraries.

  • Support leadership with meeting materials, agendas, action item tracking, and cross-functional coordination — handling all confidential information with complete discretion.

Qualifications

  • 3+ years of experience in an executive assistant, office manager, HR coordinator, or team operations role, ideally at a technology company or high-growth startup.

  • Demonstrated experience managing complex executive calendars and travel logistics across multiple time zones.

  • Experience with HR coordination — onboarding, offboarding, benefits administration, or employee records — is strongly preferred.

  • Prior experience managing a physical office environment, including vendor relationships and facilities oversight.

  • Strong written communication skills — able to draft clear, professional internal communications, meeting agendas, and follow-up notes.

  • Experience working with distributed, global teams across multiple offices and time zones is a plus.

  • Proficiency with Google Workspace (Gmail, Calendar, Docs, Sheets), Slack, and standard travel booking platforms.

Logistics

  • Full-time role, hybrid.

  • Based in the SF Bay Area — expected in the San Francisco office 3 days per week.

  • Occasional travel to support company offsites and leadership team events.

Compensation & Benefits

  • Base salary: $110,000–$130,000 per year.

  • Equity participation.

  • Full benefits: medical, dental, vision, 401(k), paid parental leave.
