In this position... 

We are seeking an experienced individual to join the Business & Operations team in Ford Racing.  Business & Operations supports the entire Ford Racing Organization including Engineering, Production programs, Competition programs, Brand and Marketing while working directly with Ford’s Vehicle Programs, Supply Chain, Finance/Accounting, Legal/Risk Analysis and other internal partners.  The support for Motorsports Competition spans across all of the race series including NASCAR, NHRA, multiple Sportscar series, Australia Supercar, Formula 1 and numerous Off-Road Racing series.  This is a very dynamic, fast-paced, and unique group that incorporates a broad range of responsibilities with exposure to cross-functional management. Currently, we have an opening in Business & Operations and look forward to welcoming the ideal candidate as soon as identified!

We are looking to establish a lead role for the management and operational needs of the Activation Fleet Program.  The Activation Fleet Program supports various partners across NASCAR, NHRA, Sports Car, Off-Road, Formula 1, and other partners.  The leader of the Activation Fleet will manage all business and operational elements of this vehicle program to ensure compliance to company policy, registering company assets and interface with assigned partners to as necessary to maintain program timelines.

To be successful, you will have perseverance, patience, be committed to improving processes, maintain detailed organization and able to ensure accuracy with timely execution under demanding timelines. Ultimately, a top-notch candidate should have excellent organizational, people management, and problem-solving skills.

This role is hybrid and requires at least 4 days per week onsite in Allen Park, MI.

Responsibilities

What you'll do...

  • Manage the Ford Racing Activation vehicle fleet based upon program scheduled needs and new obligations.
  • Create and maintain the Order Guide that is associated with the Activation fleet needs and shall be used by partners of Ford Racing.
  • Maintain CVMS and local database to track all Activation vehicle information including orders, delivery, pick-up, returns and auctions.
  • Coordinate vehicles with Ford Racing partners, including the timing, logistics, etc.
  • Submit partner orders in CVMS, following up to ensure timely scheduling and delivery to end customers.
  • Coordinate shipping, delivery and logistics for scheduled events with partners and dealerships.
  • Author and deliver required documentation.
  • Follow-up with all partners regarding delivery, returns and vehicle turn-ins.
  • Log Tracklite work orders to scheduled transportation of returned vehicles to auction.
  • Ensure appropriate bailments are in place for all fleet vehicles.
  • Ensure partners have the appropriate insurance coverage (per bailment agreement).
  • Maintain fleet registration.
  • Audit invoices for reimbursement to ensure only our vehicles are being billed.
  • Resolve tax/tag issues for improperly returned vehicles.
  • Maintain long-term and short-term bailment agreements approved with OGC.
  • Maintain the bailment documentation, including “Attachment A” vehicle list for each partner.
  • Process plate renewals and plate orders as necessary.
  • Create dealer delivery packets as necessary for each delivery, ensuring timely delivery.
  • Maintain and update CVMS with out-of-service information and in-service information.
  • Process vehicle transfers as required.
  • File American Road reports and provide support for Vehicle Programs and OGC as required.
  • Create and ensure vehicle order/transfer PSR’s are processed.
  • Order vehicles through CVMS, follow-up through scheduling to delivery to ensure timely execution.
  • Maintain official records for vehicle orders including authorization documents.
  • Manage and administer sales and ownership agreements, processing the appropriate paperwork as required.
  • Coordinate with Ford Clearinghouse and Vehicle Programs to obtain required documents and registration as company assets.
  • Compete all compliance audits as required to ensure compliance to compliance requirements.
Qualifications

You'll have...

  • Associated Degree with an Automotive Technology major.
  • 5+ years of experience in automotive related discipline.
  • 1+ year of experience with fleet management, including vehicle ordering, delivery and logistics.

  • Automotive experience preferred.
  • Program / Project Management experience is desirable.
  • High degree of self-motivation and willingness to commit extra effort to always "get the job done".
  • Candidate must be comfortable in speaking and working with a passionate management team and interfacing externally with Ford partners.
  • Prior experience in the motorsports industry and a passion for performance products.
  • Able to succeed in a fast-paced, passionate work environment.
  • Comfortable interfacing with internal and external partners including agency partners, vehicle programs, legal and insurance.
  • Detailed, Self-Organized and able to manage multiple assignments simultaneously.
  • Proficient using Excel, Outlook, Word and other software programs.
  • Well versed in problem-solving, time management skills and the ability to improve processes.
  • Strong people management skills, excellent communication, both written and verbal.
  • Flexibility of schedule to support the global team; willingness and ability to travel if necessary.
  • Able to lift at least 30lbs safely.

This position is a salary grade 5 - 8 and ranges from $65,100 - $166,200.      
Final determination of salary grade will be based on candidate's skills and experience, and base salary will be set within the applicable range according to job scope, responsibility and competitive market value.
