The role in one line

You lay the train tracks in front of our Co-Founder and leadership team. You predict what they need before they ask. And you help to keep our SF office running.

What this actually is

This is an EA role supporting our Co-Founder and Field CTO. You'll also be working across other executives based in SF, and you'll be the go-to person for keeping things running smoothly.

You'll be in the office 3-4 days a week. The whole team is in on Mondays, Wednesdays, and Thursdays. You're the physical, human layer around some of the busiest people in the company: protecting time, reading context, and making high-judgement calls in real time.

The role is varied. One day you're coordinating a team offsite, the next you're pulling together slides for a big presentation. You might be helping the People team on the ground in SF, or picking up scheduling across the SF leadership team.

We're big believers in AI, and you'll have access to the best tools. We expect you to know when to use them, when to step in yourself, and what great quality looks like. What AI can't do is read the room, build relationships, or spot a problem before it lands. That's where you come in.

  • You handle logistics, scheduling, travel, and the personal admin that slows leaders down.

  • You take ownership of the environment, making sure the office runs exactly as it should.

What the job actually involves

You'll be based in our SF office. Here's the kind of thing you'll be doing day to day:

  • Diary and logistics. Owning the calendar, travel, and day-to-day logistics. Coordinating across the SF leadership team. Making sure the right things happen at the right time, and stepping in early when something's about to break.

  • Team offsites and events. Planning and running team offsites and internal events. Turning rough ideas into well-run, high-quality experiences.

  • Information triage. There's a constant stream of information. Your job is to filter it, decide what matters, and make sure the right people see what they need to see, at the right moment.

  • Preparation and output. Turning rough ideas into something usable. Prepping for all-hands, building slides, shaping notes into clear documents, and making sure important moments are well prepared.

  • Office ownership. Owning how the SF office runs day to day. Keeping the space ready, solving problems as they come up, and making sure nothing quietly degrades over time.

  • People. Getting to know the incident.io team and acting as eyes and ears across the business. Welcoming customers, investors, and visitors. Building relationships, understanding who matters most, and helping leadership stay connected to the right people.

The profile we're looking for

Years of EA experience won't necessarily win you this job. We're open on background as attitude matters more than your CV. We want someone direct, no nonsense, someone who runs through walls and makes things happen. We care about:

  • Discretion. You'll handle sensitive information: board matters, personnel decisions, strategy.
