Provides administrative HR support including maintaining personnel files and HRIS records, scheduling interviews and trainings, running reports, assisting with onboarding, benefits enrollment, audits, and company events. Answers routine HR questions, preserves confidentiality, supports special projects, and assists senior HR staff to ensure efficient department operations.
The HR Assistant reports to the Senior Human Resources Manager and supports the Human Resources Department. The HR Assistant will perform administrative tasks and services to support effective and efficient operations of NEMS’ Human Resources Department.
ESSENTIAL JOB FUNCTIONS:
- Provides administrative support to all areas of the HR Department.
- Maintains accurate and up-to-date human resource files, records, and documentation.
- Answers frequently asked questions from applicants and employees relative to standard policies, benefits, hiring processes, etc. Refers more complex questions to appropriate senior-level HR staff or management.
- File documents into HR files, such as personnel files, I-9s, etc.
- Schedule phone screens, interviews, trainings, etc.
- Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
- Assist with retrieving documents during companywide audits
- Update and maintain accurate records in HRIS system.
- Create and maintain HR forms and documents.
- Run reports as requested.
- Assists with events such as new hire orientation, benefits open enrollment, trainings, company events, etc.
- Performs customer service functions by answering HR questions
- Assists with special projects as requested
- Maintains the integrity and confidentiality of human resource files and records.
- Performs other job duties as required by manager/supervisor.
- High School Diploma or General Education Development (GED) required.
- Associate’s degree in related field preferred
- One or more years of experience in Human Resources preferred
- Previous health care experience is a plus
- aPHR, PHR or SHRM-CP certification a plus
- Knowledge of HRIS systems is a plus
- Basic knowledge of local, state, federal labor and payroll laws
- Excellent verbal and written communication skills
- Excellent interpersonal and customer service skills
- Ability to work with all levels of staff
- Must have strong organizational skills and be detail oriented
- Strong knowledge of Microsoft Office Suite
- Ability to multi-task and prioritize work
- Ability to work with highly sensitive and confidential matters
- Proven ability to work in a fast-paced environment
LANGUAGE:
- Must be able to fluently read, write and speak English
- Ability to speak Chinese (Cantonese or Mandarin) is an asset
STATUS:
- This is an FLSA Non-exempt position.
- This is not an OSHA high-risk position.
- This is a Full Time position.
