Marketing Coordinator

Full-Time: Exempt Position 40 Hours per Week

GENERAL SUMMARY:
The Marketing Coordinator will be responsible for managing all duties and logistics that lead up to and including the resident's move to or from Stoneridge Creek including directing and coordinating with all applicable departments including Plant Operations, Environmental Services, and Security. The Marketing Coordinator must be adept at giving each resident quality individual time, learning about their needs and managing their expectations. This position is a vital part of this often stressful transition, and is done in a collaborative effort between marketing and operations. The Marketing Coordinator manages the day to day operation of the Marketing office. They also provide support to the Sales Manager and Representatives; and supervise the Marketing Assistants.

Duties and Responsibilities:

Essential Functions:

• Manages the production of all marketing department reports, including monthly sales, inventory, waitlist, activity, and others.

• Coordinates and maintains the schedule for the move in process:

  • Assessments - ensures all admissions paperwork is received from both the future resident and the Doctor prior to scheduling with Director of Resident Services.
  • Document signing – prepares move in document folders and ensures that each department leader receives pertinent documents prior to move-in.
  • Keys & Fees Date – ensures Resident & Care Agreement, keys, name badges, garage transponders, and car stickers are prepared before the meeting
  • Physical move in date – Coordinate arrival day with movers and department leaders.

• Provides resources to future residents, which may include realtors, downsizing specialist, contractors, etc.

• Ensures units are move-in ready

• Orders and maintains inventory for move in gifts

• Communicate daily with Marketing Manager and other key team members regarding the status of all prospective move-ins

• Controls funds received for payment to the Master Trust.

• Provides support to the marketing team; including general clerical support, giving community tours to visitors as needed (public relations), and assisting with special projects such as advertising and direct mail campaigns.

• Schedules daily work assignments, supervises, trains, and counsels the Marketing Assistants.

• Assists the Sales Manager as needed with correspondence and communication with employees, residents, and the public.

• Keeps the Carport and Garage assignments and gets the Agreements signed for same.

• Works with Executive Director, Marketing Manager, and Marketing Coordinator to track resident moves and vacant units.

• Communicates with the Future Resident and/or the Doctor for incomplete/missing information. Also contacts the Doctor for any diagnosis/treatment updates.

• Alerts the Director of Resident Services, Residency Counselor and Sales Manager of any medical concerns.

• Works in tandem with marketing management to gather information regarding any Home Sale Deferral situations that require listing information and listing agent information, including current market analysis.

• Collects entrance fees that are due and gets payments to the Director of Accounting.

• Oversees and coordinates all logistics of resident move-out:

  • Schedules resident Move-Out date and time.
  • Coordinates details and gives instruction to the movers.
  • Sets up final paperwork for the resident’s file, including the Move-Out Information Sheet, Unit Check-Out List and Refurbishment Guidelines.
  • Schedules and performs final walk-through of resident’s apartment/villa and closing out residency.

• Works with resident’s families to ensure their support of the moving process.

• Supervises and schedules all Resident Transfers unit-to-unit, creates the Transfer Agreements, acquires resident signatures on Transfer Agreements and collects additional monies if applicable.

Non-Essential Functions:

• Assumes responsibilities for personal work areas and maintaining areas in a presentable manner.

• Performs specific work duties and responsibilities as assigned by direct supervision or administration.

QUALIFICATIONS:

• At least one year supervisory experience preferred.

• Must demonstrate excellent verbal and written communication skills and have the ability to communicate and present in person, in writing, and on the telephone effectively with both large and small groups in English.

• Strong organizational and time management skills. Strong attention to detail.

• Ability to handle multiple priorities while working in an environment of constant distractions.

• Strong judgment, problem solving, and decision making skills.

• Strong computer skills, including Microsoft Office Suite (Word, Outlook, Excel, Power Point and Access). Ability to learn new computer applications.

• Excellent customer service skills.

• Associate or other college degree a plus

• Good initiative to anticipate problems and resolve them

Knowledge and Skill Requirements

• Must demonstrate excellent verbal and written communication skills and have the ability to communicate effectively with new residents and their families.

• At least one year experience in a retirement community either in sales or as a Move-Out coordinator.

• Strong interpersonal skills are essential.

• Must have knowledge of and special sensitivity to the needs of the aging.

• Must have the ability to work independently with self-discipline and self-motivation.

CRITICAL FUNCTION:
• This position is essential to the safety of our residents and staff; and to the operation and function of the community. Employee may be recalled to report to work for an emergency, unusual occurrence, resident care need, visit from regulatory/governing agencies or any other event deemed necessary by the Executive Director, Administrator, and designee.

  • Ability to multitask, work on projects while answering phone and greeting visitors.

  • Must display a friendly, courteous and helpful attitude toward the residents and the public.

  • Ability to communicate effectively in English. Able to perform simple mathematics and basic knowledge of computer programs.

  • High School graduate. General office and heavy phone experience preferred.

  • Current driver’s license.

  • Legally Authorized to work in the United States
