Key Responsibilities
- Manage schedules and coordinate meetings for multiple individual team members, as well as members of the overall business on an ad hoc basis.
- Manage domestic and international travel arrangements, prepare expense reports, and track reimbursement. Manage some office processes, including ordering supplies, managing catering requests, and onboarding new employees.
- Provide telephone support, with the ability to direct calls to appropriate resources and troubleshoot IT- related issues with Helpdesk and other internal resources.
- Organize electronic and soft copy documents and communication that may require confidential treatment. Assist with production and coordination of meeting briefs, presentations, updates, and reports that may require confidential treatment.
- Assist in the maintenance of a SalesForce database including updating contact information, logging in meetings and distribution of transaction related materials.
- Coordinate multiple internal and external meetings involving senior leaders in the company as well external stakeholders and third parties requiring coordination of time zones.
Required Qualifications
- 4+ years of experience
- Strong PC skills, including proficiency in Microsoft Office Suite: Outlook, PowerPoint, Word, and SharePoint, and internet skills.
- Strong Excel skills for creating and working with spreadsheets, data, and basic analytics
- Ability to work in a fast-paced environment and ability to recognize opportunities to improve and stream-line processes
- Excellent organizational, time management skills, written and verbal communication skills
- Must be able to multi-task with a keen eye to detail and handle heavy flow of incoming and outgoing requests for meetings or information
Preferred Qualifications
- Bachelor's Degree
- Insurance and Financial Services experience preferred
- Self-starter: ability to independently anticipate needs, look ahead, plan for contingencies, manage concurrent tasks, prioritize tasks and follow-up
- Superb inter-personal skills, demonstrating an ease with interacting professionally - at senior levels - within and across functional teams
- Flexibility to move between competing priorities as needed/directed and strong customer-centricity skills
- Calendar/schedule management and discretion in handling confidential materials/information
