Job Description

We are seeking a professional, organized, and customer-focused Office Manager to oversee the day-to-day operations of our Santa Clara office. This role owns the general office environment, serves as the first point of contact for visitors, clients, and employees, and has significant involvement in logistics, shipping, and receiving, including access to our logistics and inventory systems.

Key Responsibilities

  • Greet and welcome visitors, clients, candidates, and vendors in a professional and friendly manner.
  • Answer, screen, and direct incoming phone calls and emails.
  • Manage front desk operations and ensure a positive visitor experience.
  • Coordinate conference room scheduling and prepare meeting spaces as needed.
  • Maintain a clean, organized, and professional office environment.
  • Oversee all shipping and receiving activities, including:
    • Sorting and distributing incoming mail and packages
    • Coordinating outgoing shipments and courier services
    • Maintaining an organized shipping and receiving area
  • Manage logistics and inventory systems, including tracking office supplies and placing orders as needed.
  • Support office organization, filing, document management, and recordkeeping.
  • Coordinate office events, team meetings, and employee engagement activities.
  • Assist with data entry, reporting, and other administrative projects.
  • Partner with multiple departments to support daily office operations and business needs.
  • Process checks and enter transactions into QuickBooks.
  • Manage breakroom operations, including maintaining supplies, purchasing snacks and beverages, and overseeing dishwasher upkeep.

Qualifications

  • High school diploma or equivalent required; associate's degree preferred.
  • 1-3 years of office manager, administrative assistant, office coordinator, or related experience.
  • Excellent verbal and written communication skills.
  • Strong customer service and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Highly organized with strong attention to detail.
  • Ability to prioritize tasks and manage multiple responsibilities effectively.
  • Professional demeanor and positive attitude.
  • Experience with office equipment, including printers, copiers, and phone systems.
  • Ability to maintain confidentiality and handle sensitive information.
  • Experience with QuickBooks preferred.
