About the Role

The Operations Analyst plays a critical role in supporting Client Operations, internal operations, and select partnership workflows through strong organization, data management, and process execution. This role is focused on operational excellence, accurate tracking, and cross-functional support, ensuring teams have the data, documentation, and systems needed to operate efficiently and scale intentionally.

This position reports directly to the VP, Client Operations.

Time Allocation Overview

  • Client Operations – 50%
  • Finance – 20%
  • Partnerships Support – 30%

Key Responsibilities

Client Operations (50%)

  • Track and maintain accurate client pipeline, renewals, and contract statuses, ensuring data integrity across systems.
  • Support renewal preparation and contract coordination, including documentation readiness and internal handoffs.
  • Maintain structured notes, documentation, and follow-up reminders to support client-facing teams.
  • Assist with time tracking processes, validation, and reporting to support client billing and internal analysis.
  • Create and maintain spreadsheets and reports (Google Sheets) to support forecasting, renewals, and operational insights.
  • Coordinate and document client operations workflows, ensuring processes are clear, repeatable, and well-documented.
  • Support ongoing process improvement efforts within Client Operations through data analysis and documentation.

Finance Support (20%)

  • Provide administrative and analytical support to Finance, including:
    • Data validation and reconciliation
    • Report preparation
    • Cross-checking contracts, renewals, and time tracking inputs
  • Maintain organized digital file systems, shared drives, and documentation repositories.
  • Assist with internal reporting needs and ad hoc operational projects.
  • Support operational consistency by helping maintain standard operating procedures (SOPs) and internal documentation.

Partnerships Support (30%)

  • Maintain and update CRM & Client records, partnership pipeline data, and documentation, ensuring accuracy and completeness.
  • Support contract preparation and renewal tracking related to partnerships (non-sales execution).
  • Assist with research and internal coordination related to partnerships, as needed.
  • Support light content operations, such as posting approved blogs or updates to relevant platforms.
  • Provide operational support to the Partnerships team without owning direct sales or relationship management.
  • Support administrative email communications.

Skills & Experience

  • Strong proficiency in Google Sheets / spreadsheets, including data organization, tracking, and reporting.
  • Highly organized with strong attention to detail and follow-through.
  • Comfortable managing multiple workflows and priorities across teams.
  • Experience with CRMs, documentation systems, and operational tools.
  • Clear written communication skills and structured note-taking ability.
  • Interest in operational systems, process improvement, and cross-functional collaboration.
  • Analytical mindset with problem-solving skills and attention to detail
