The Role

We are looking for a highly organized, proactive, and discreet Executive / Personal Assistant to support our CEO. In this role, you will act as a trusted partner, helping the CEO operate at maximum effectiveness by managing both professional and personal responsibilities.

This role requires someone who thrives in a fast-paced startup environment and enjoys wearing multiple hats. You will work closely with senior leaders, investors, and cross-functional teams, while also assisting with personal logistics to ensure the CEO can focus on strategic priorities and maintain work-life balance.

The ideal candidate is resourceful, highly discreet, and comfortable navigating both strategic conversations and day-to-day operational or personal tasks.

What You’ll Do
  • Manage the CEO’s complex calendar, prioritizing meetings and ensuring efficient time management across internal and external commitments
  • Coordinate domestic and international travel, including itineraries, logistics, and expense management
  • Handle personal travel, appointments, family scheduling, and lifestyle logistics as needed
  • Prepare materials for board meetings, investor updates, leadership meetings, and external presentations
  • Act as a liaison between the CEO and internal teams, partners, investors, and customers
  • Help manage follow-ups on key initiatives and ensure accountability across leadership teams
  • Assist with organizing company events, leadership offsites, and strategic planning sessions
  • Draft and manage email correspondence and other communications on behalf of the CEO when needed
  • Manage personal errands, deliveries, and household-related logistics as needed
  • Handle confidential information with the highest level of discretion and professionalism
  • Support special projects and operational initiatives as the company continues to scale
What We’re Looking For
  • 3–7+ years of experience supporting a CEO or senior executive, preferably in a high-growth startup or technology company
  • Must be based in or willing to relocate to Menlo Park, CA and work onsite 5 days per week
  • Exceptional organizational and time management skills with strong attention to detail
  • Strong written and verbal communication skills
  • Ability to anticipate needs, solve problems quickly, and operate with minimal direction
  • Experience managing complex calendars and coordinating across multiple time zones
  • High level of professionalism, discretion, and emotional intelligence
  • Comfortable working in a fast-paced, ever-changing startup environment
  • Proficiency with modern productivity tools (Google Workspace, Slack, Notion, etc.)
  • Flexibility and willingness to support personal and lifestyle tasks as needed
