Role Overview

This is a recruiting-first role, with an operational layer on top. You will own the engine that fills our pipeline — sourcing exceptional candidates at high volume, moving them through the process thoughtfully and efficiently, and coordinating seamless virtual and onsite interview experiences. But your job does not stop at the offer. As we grow, you will also help build the operational infrastructure that supports our expanding team's high performance — tracking projects, maintaining visibility across initiatives, and ensuring the systems that bring great people in are matched by systems that help them thrive.

You will work directly alongside the founder across both hiring and day-to-day operations. We are looking for someone who genuinely cares about the candidate experience and the team experience in equal measure — someone who understands that finding exceptional people is only half the job, and that helping create high-performance teams is the other half.

This role requires 5 days per week, onsite in our Palo Alto office. We are not considering remote or hybrid arrangements at this time.

What You'll Do

Recruiting & Sourcing

  • Source exceptional candidates at high volume across LinkedIn, GitHub, and other channels — proactive outreach is the core of this role, not reactive inbound management.

  • Build and maintain sourcing lists, sequences, and outreach cadences to keep pipeline full across multiple open roles simultaneously.

  • Screen inbound applicants and qualify candidates through thoughtful initial conversations before passing to hiring managers.

  • Own interview scheduling end-to-end — coordinating availability, managing virtual and onsite logistics, and making sure every interview experience reflects well on Zania.

  • Keep candidates warm and engaged throughout the process; a great candidate experience is something we take pride in.

  • Maintain clean, accurate data in our ATS at all times — pipeline hygiene is a non-negotiable.

  • Partner with hiring managers on role intake, scorecards, and structured interview processes.

Project Management & Operations

  • Own project tracking across teams — maintain visibility into open initiatives, follow up on deliverables, and flag anything at risk of slipping.

  • Build and manage lightweight operational systems (task management, SOPs, internal documentation) that help a fast-growing team stay coordinated and supported.

  • Support the founder and leadership team with scheduling, coordination, and execution of cross-functional priorities.

  • Handle operational tasks across HR, office management, and general business operations as needed at an early-stage company.

What We're Looking For

  • 1–2 years of experience in recruiting coordination, sourcing, talent acquisition, project management, or operations — ideally at a startup or high-growth company.

  • You source relentlessly. You know how to find exceptional, talented people who are not applying, and you know how to inspire them to respond.

  • You run a thoughtful, tight process. Interviews — virtual and onsite — are well-coordinated, on schedule, and leave candidates feeling good about their experience.

  • You are just as comfortable managing a project board as you are managing a candidate pipeline — both matter equally in this role.

  • Moves fast and follows through on everything — you are someone your team can rely on completely.

  • Works equally well independently and collaboratively; you take full ownership of a process and also show up as a true team player.

  • Strong written communication — your outreach messages get replies because they are warm, clear, and genuinely human.

  • Comfortable using AI-powered tools to drive performance — whether for sourcing, scheduling, project tracking, or communications, you embrace technology that makes you faster and better.

  • Startup DNA: early-stage means high expectations, meaningful hours, and building the plane while flying it — and you find that genuinely exciting.

  • Eligible to work in the US without sponsorship.

Nice to Have

  • Experience supporting technical recruiting (engineers, ML/AI roles, security).

  • Familiarity with ATS platforms (Ashby, Greenhouse, Lever) and HRIS tools (Rippling, Gusto).

  • Previous experience at a seed-to-Series D company.

  • Exposure to GRC, security, or enterprise software environments.

Minimum Qualifications

  • Bachelor's degree or equivalent experience.

  • 1–2 years of experience in recruiting coordination, sourcing, project management, or a related role.

  • Exceptional written and verbal communication skills.

  • Must be authorized to work in the United States. No visa sponsorship available.

  • Must be available to work onsite in Palo Alto, CA five days per week.
