JOB PURPOSE

The Receptionist/Administrative Associate is a valued member of the San Francisco office. The successful candidate will be responsible for setting the tone of the office. The Receptionist/Administrative Associate’s primary responsibility is to provide support to the San Francisco office concentrating on outstanding reception support. The right candidate will be able to work in small team environment with a can-do attitude, the ability to find a solution to every problem and the capability to multi-task. We are looking for a friendly, kind and hardworking member of our expanding and entrepreneurial team.

ESSENTIAL FUNCTIONS

The right candidate will be responsible for, but not limited to:

  • Answering main phone line
  • Meeting and greeting all visitors
  • Meeting facilitation including catering orders and meeting room management
  • CRM management and entry
  • Kitchen and common space preparation, organization and maintenance
  • Ordering and management of supplies - both office and kitchen
  • Incoming and outgoing mail including FEDEX, UPS
  • Invoice processing
  • Facilities management including outside services providers
  • Internal office events (holiday party, etc)
  • Expense report management or senior team members
  • Ad hoc duties, as required
  • 3+ years in a similar office environment
  • Excellent working knowledge of Microsoft Office programs including Word, PowerPoint and Excel
  • Working knowledge of CRM (Mircosoft), DMS (Laserfiche) an advantage
  • Working knowledge of invoicing and expense reporting program
  • Plan, coordinate and track all marketing events in collaboration with Bay Area Director of Business Development

QUALIFICATIONS & EXPERIENCE

  • Detail-oriented aptitude; a high degree of accuracy is required
  • The ability to exercise independent judgment
  • High energy and customer service oriented
  • Strong proficiency with Microsoft Office suite especially Excel and Word
  • A friendly professional demeanor and ability to excel in a team-oriented enviroment
  • Effective verbal and writte communication skills
  • High integrity with diligent work ethic
  • Ability to manage time effectively, set priortiies and meet deadlines
  • Abiltiy to learn and adapt to change

DESIRED QUALIFICATIONS
- 4-year degree from recognized university (preferred not essential) or relevant experience

COMPENSATION

Base salary range

$60- $75,000 annually

Salary may vary depending on job-related factors including, but not limited to, skills and experience. Full-time employees may be elgible for a comprehensive benefits package that includes: medical, dental and vision coverage, 401(k), life insurance, paid time off and a Wellness Program. Annual bonus, incentive pay and/or equity may also apply depending upon the role.
