Hybrid Schedule Philosophy: As part of the Cooley culture, we recognize and appreciate the value of being together, in person, to build comradery with others in the office and to be a contributing member of the Cooley office. However, we also appreciate the benefits and flexibility that come from remote working. As such, the default assumption for employees and partners is a hybrid schedule: some in-office presence and some work from home days absent certain essential in-office roles that require five (5) days/week in-office.


Position summary: The Recruiting Coordinator will provide administrative and scheduling support to the Business Professional Recruiting team for business professional positions across the US. Specific duties include, but are not limited to:


Position responsibilities:

  • Coordinate and schedule candidate interviews, communicate with interviewers, agencies, and candidates
  • Conduct and coordinate post offer contingencies with the candidates and the HR team to include background, conflicts, and reference checks
  • Utilize LinkedIn Recruiter to source passive candidates for professional staff positions across the firm
  • Post and advertise roles to various job boards and professional organization sites
  • Maintain regular communication with approved recruiting agencies. This includes drafting agreements, responding to agency requests for agreements, filing correspondence in Worksite, updating agency tracking database, entry of new agencies into Workday (including uploading signed agreement to Workday) working with agencies and HR Systems team to troubleshoot agency Workday account issues and processing invoices for payment
  • Extensive use of applicant tracking system (Workday),  including, scheduling interviews, monitoring feedback, and moving candidate through final stages
  • Correspond and follow-up directly with applicants regarding status of candidacy
  • Provide administrative support to members of the Business Professional recruiting and HR manager teams, including but not limited to the following: send TNT letters, offer letters, gather pre-hire documents for new employee personnel files, coordinate background and conflicts checks on candidates, draft HR forms needed for hiring purposes and correspond with office administration on incoming hires
  • Run weekly hit report out of background check system to catch background checks with flags and deliver to Director of HR for review/approval
  • Download background check results that are about to be removed from the vendor’s system and save to iManage
  • Process agency invoices and correspond with vendors, as needed
  • Develop and/or update various administrative forms and create and maintain files 
  • Assist broader HR team with department projects and/or administrative duties, as needed
  • All other duties as assigned

Skills and experience:

Required:

  • After orientation at Cooley LLP, exhibit proficiency in the Microsoft Office suite, iManage, and other firm applications
  • Available to work overtime, as required
  • 2+ years administrative experience in a professional office setting with at least one year supporting HR or recruiting functions

Preferred:

  • Bachelor’s Degree
  • Prior experience scheduling interviews in a professional services work environment

Cooley offers a competitive compensation and excellent benefits package and is committed to fair and equitable employment practices. EOE.


The expected hourly pay range for this position with a work schedule of 40 hours per week is $30.50 - $44.00 ($63,440.00 - $91,520.00 annually). Please note that final offer amount will be dependent on geographic location, applicable experience and skillset of the candidate.
