Position Overview

    We are looking for a detail-driven, tech-comfortable Sales Technology and Operations Administrator to join our team. This role sits at the intersection of client operations, internal systems, and sales technology, owning the critical setup, admin, and coordination work that keeps our campaigns and client engagements running smoothly.

    You will manage client onboarding steps (emails, phone numbers, CRM access, pipeline setup), maintain systems and integrations across tools like HubSpot and Airtable, coordinate with third-party vendors, and support the Ops team in building and documenting scalable processes. You will also use AI tools like Claude to work smarter and faster across your day-to-day.

    This is not a static role. Responsibilities will shift and grow as the business evolves, and we are looking for someone who sees that as a feature, not a bug. If you are organized, resourceful, comfortable with systems, and motivated by getting the details right, this is a strong fit.

Primary Responsibilities

  • Support client technology onboardings and setups, including email creation, phone number provisioning, CRM configuration, pipeline access, and third-party tool integration

  • Manage ongoing client administration throughout engagement lifecycle, ensuring systems, access, and data stay current and accurate

  • Coordinate third-party vendor relationships, including account setup, renewals, issue escalation, and day-to-day communication

  • Build and maintain Airtable back-end integrations to support internal tracking, reporting, and operational workflows

  • Execute list scrubs and data hygiene processes to ensure targeting accuracy and campaign readiness

  • Use Claude and other AI tools to support research, content formatting, data cleanup, and process efficiency

  • Partner with the Operations Manager on process automation initiatives, identifying manual bottlenecks and supporting implementation of scalable solutions

  • Support creation, documentation, and execution of SOPs across client setup, tech onboarding, and ongoing operations

  • Maintain and update sales enablement materials, process documentation, and internal data resources

  • Deliver new hire training on internal systems, client setup procedures, and operational best practices

  • Troubleshoot system and process issues with a solutions-first mindset, proposing improvements and driving continuous iteration

  • Collaborate cross-functionally to ensure consistent adoption of tools, processes, and standards

  • Take on evolving responsibilities as business needs shift, with the understanding that this role is built to grow and adapt

About You

  • Strong organizational skills with a high tolerance for detail-heavy, repetitive admin work done well

  • Proactive problem-solver who does not wait to be told what needs fixing

  • Comfortable navigating multiple systems, tabs, and workflows simultaneously

  • Clear communicator who can work independently and flag issues early

  • Adaptable and energized by a fast-paced, startup-oriented environment where priorities shift

Your Qualifications

  • Experience with CRM platforms (especially HubSpot); Salesforce familiarity is a plus

  • Working knowledge of Airtable or willingness to learn quickly

  • Strong proficiency in G-Suite and Microsoft Office

  • Experience in operations, admin coordination, or sales/revenue ops environments

  • Comfort with AI tools (e.g., Claude) for day-to-day workflow support

Preferred Skills (Nice to Have)

  • Experience with vendor or account management coordination

  • Familiarity with list building, data enrichment, or sales data workflows

  • Basic knowledge of Python or other scripting tools
