NOTE: This role is hybrid and requires 3 days onsite in our Walnut Creek, CA Corporate office.

JOB SUMMARY

The Senior Associate Corporate Events Specialist manages the operational frameworks required for the execution of Corporate Events. This role is responsible for the independent oversight of event data systems, vendor lifecycle management, and the implementation of attendee experience protocols. The Senior Associate Corporate Events Specialist exercises independent judgment in prioritizing departmental workflows and resolving logistical challenges to ensure alignment with MWG’s strategic event objectives.

ESSENTIAL FUNCTIONS

  • Operational Workflow Management: Independently manage operational processes for the Corporate Events team, including the development of standardized record-keeping systems, developing resource guides, and the management of vendor contract lifecycles.
  • Event Systems & Data Oversight: Design and implement digital event registration. Serve as the lead for event data, exercising discretion in handling complex attendee inquiries and analyzing registration trends to provide strategic updates.
  • Strategic Communications Execution: Author and prepare the distribution of event communications. Ensure all messaging aligns with brand standards and exercise judgment in tailoring communication cadences for diverse stakeholder groups, including leadership and industry partners.
  • Logistical Project Coordination: Lead and support team in coordination of event logistics, including the selection and management of transportation, catering, and AV providers. Negotiate with vendors on specific service deliverables to ensure operational efficiency and cost-effectiveness.
  • Onsite Operational Leadership: Serve as a team lead onsite point of contact for operational setup and vendor coordination. Exercise independent judgment to resolve real-time guest service issues and logistical disruptions to ensure a seamless attendee journey.
  • Budgetary Oversight & Financial Reporting: Reconcile financial records and expense reporting and submit payment for vendors/suppliers.
  • Post-Event Intelligence: Manage the post-event evaluation process by synthesizing survey data into formal debrief reports. Provide recommendations for process improvements and strategic shifts for future event iterations.

KNOWLEDGE AND SKILLS

  • Advanced organizational skills with the ability to exercise independent judgment in high-pressure, fast-paced environments.
  • Strong analytical skills for managing complex data sets and registration logic.
  • Proficiency in event registration ecosystems (e.g., Swoogo, Cvent, Splash, Eventbrite) and the ability to troubleshoot system architecture independently.
  • Excellent written and verbal communication skills tailored for professional and executive audiences.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and manage project timelines with minimal supervision.
  • Professional demeanor with a high-touch, concierge-level approach to customer service.

EDUCATION, COMPETENCIES, CERTIFICATIONS/LICENSES

  • Minimum Qualification
    • Bachelor's degree in Hospitality, Marketing, Communications, Business, or a related field preferred plus 2 years or High School diploma plus 6 years if experience in event and specialized project management, or a related field.
    • Willingness to work evenings and weekends and travel as required for onsite event support (up to 10% travel).
  • Preferred Qualification
    • Experience with event registration software is a significant plus.

We target between minimum and midpoint of the range, and all offers are subject to a fair pay analysis - Compensation Range: Min: $76,657.00 - Mid: $95,820.00- Max: $114,985.00
