As part of Business Operations team, manage the end-to-end process for Digital Labs events on behalf of Services.
Job Summary: The Digital Labs Events Project Manager will be responsible for managing and executing events for the Digital Labs team. This role involves coordinating all aspects of event planning and execution, including venue sourcing, contract negotiation, vendor management, and event reconciliation. The ideal candidate will have strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.
Role• Event Planning and Coordination• Processing and recording new meeting requests on the MC Portal• Creating RFPs and sourcing hotels• Collating and calculating venue comparison/RFP reports• Querying proposals received, missing information, and pricing with hotels.• Proposing RFP reports and outlining available venue options to facilitators.• Chasing up facilitators for their decision on a venue• Liaising with hotels and working out venue contracts• Managing the Digital Labs team's hotel room list and bookings for their stay in different cities/countries• Processing payments to hotels, caterers, and vendors• Event reconciliation and close-out on the system
Miscellaneous Tasks:
• P-Card reconciliation• Arranging catering and liaising with external vendors, including chasing up facilitators for their reply on menu choices• Processing third-party supplier payments for the delivery team• Researching more cost-effective and efficient alternative venues• Performing administrative tasks such as training, handling queries from the team and stakeholders, team meetings, and 1:1s.
Analysis and Reporting:
• Analyzing the average number of events per month• Assessing monthly workload and contracted hourly capacity
Qualifications:
• Proven experience in event planning and project management• Strong organizational and multitasking skills• Excellent communication and negotiation skills• Ability to work under pressure and meet tight deadlines• Proficiency in using event management software and tools• Knowledge of budgeting and financial management
Preferred Qualifications:• Experience in the digital or technology sector• Familiarity with CRM systems and project management tools
