Role description

As a Solution Architect, you are a key part of the Consulting Services team and will play a critical role in driving our success. You are the customer's first and most trusted technical voice: you will lead discovery, uncover what customers truly need, and turn those needs into clear requirements and sound M-Files solution designs. You will serve as Subject Matter and Solution Expert in M-Files software and Systems Integration, and as the Design and Technical Lead on key customer engagements, working closely with the customer and project team. Your day-to-day work consists of running requirements workshops and stakeholder interviews, analyzing business processes and content, documenting and validating requirements, designing solutions that satisfy them, and defining the integrations with 3rd party applications and external data sources each implementation needs. As M-Files transforms how it works with AI, you will use Claude daily to accelerate discovery, analysis, and documentation, and you will help customers identify where automation and AI agents can deliver measurable value from their M-Files environment.

Responsibilities

Discovery and Analysis

  • Lead customer discovery: facilitate requirements workshops, stakeholder interviews, and process walkthroughs to understand business goals, current-state processes, pain points, content types, and success criteria.
  • Help customers identify and clarify their needs: separate stated wants from underlying needs, ask probing questions, and surface unstated requirements, assumptions, constraints, and risks early.
  • Assess the customer's existing environment, including IT infrastructure, authentication and security models, data sources, and 3rd party systems, to identify and validate M-Files integration points.
  • Document requirements clearly and traceably (business requirements, current and future-state process maps, solution descriptions, UML diagrams), and validate them with business and technical stakeholders.
  • Prioritize requirements with the customer, define acceptance criteria up front, and manage scope changes with Project Management.
  • Use Claude daily to prepare for discovery sessions, synthesize notes and transcripts, draft requirement and design documentation, and identify gaps or conflicts, always applying your own judgment and review before anything reaches a customer.
  • Identify where automation and AI agents can add value in the customer's workflows, and advise on governance, supervision, and data access considerations.

Solution Design and Delivery

  • Serve as Subject Matter and Solution Expert in M-Files software and Systems Integration.
  • Translate business requirements into a technical solution design to be implemented by the project consultants, serving as the technical design leader on multiple projects.
  • Provide best-practice recommendations on design and customer solution sets.
  • Coordinate with the consultants on the technical aspects of deployments, and work closely with M-Files Project Management on timelines, task planning, and delivery.
  • Support all aspects of the deployment lifecycle, including solution design, development, deployment, migration, QA, UAT, and other consulting engagements.
  • Oversee delivery validation against the agreed requirements and acceptance criteria, testing with real customer data where possible and reporting results candidly, so deployments meet and exceed customer expectations for quality and reliability.
  • Produce technical documentation and handoff materials, and train customer technical staff where the engagement calls for it.

Product and R&D Partnership

  • Recognize when a customer requirement goes beyond standard product capability or what can reasonably be built on the M-Files extensibility layer (vault applications, scripts, and APIs), and scope that gap clearly for R&D and Product Management rather than forcing a workaround.
  • Coordinate change requests and product updates required for customer success with R&D and Product Management.
  • Feed recurring requirements patterns observed across customers back to Product Management as structured input.

Team and Practice Contribution

  • Mentor and lead more junior members of the consulting unit.
  • Build and share reusable discovery templates, requirements checklists, solution patterns, and Claude prompts and workflows that raise the quality and speed of the whole team.
  • Support pre-sales scoping and technical feasibility conversations as needed, and identify and escalate additional service and expansion opportunities that surface during engagements.
  • Coordinate scope boundaries with Implementation, Managed, and Expert Services on accounts where more than one team is active.

Requirements

Minimum Qualifications

  • 5 to 8 years of corporate services consulting experience, from a management consulting firm, boutique consulting firm, or a software firm with a services practice.
  • Bachelor's degree in Computer Science or related field; Master's degree in a relevant field preferred but not required.
  • Proven requirements gathering experience in a customer-facing consulting environment: facilitating workshops and interviews, eliciting and clarifying needs, and translating them into documented requirements and solution designs.
  • Hands-on experience using Claude (for example Claude.ai, Claude Cowork, or Claude Code) in your daily work, such as research, analysis, drafting, and summarization, with the judgment to verify AI output and protect customer data.
  • Working knowledge of AI agent and automation concepts as applied to enterprise data, including governance, supervision, and responsible use.
  • Experience working with document/content management systems.
  • Excellent verbal and written communication skills, with a proven ability to explain ideas to both business and technical audiences.
  • Strong leadership and interpersonal skills, with the ability to listen to customers and translate their needs into specific actions and solutions.
  • Experience creating technical documentation (solution descriptions, requirements documents, UML diagrams, etc.).
  • Knowledge of solution architecture and cross-application communication and integration methodologies.
  • Experience in all lifecycle phases of enterprise IT solutions (specification, planning, design, development, delivery, rollout, training, and operations), including managing project timelines and scope.
  • Ability to drive projects to completion and manage obstacles; excellent organizational skills and experience supporting multiple concurrent customer engagements.
  • Solution-driven approach with strong problem-solving skills; self-confident and able to engage and manage customer engagements effectively.
  • Highly motivated self-starter with a strong desire to learn new methods and technologies, able to thrive in a fast-paced, deadline-driven environment.
  • Willingness to travel (up to 25%).

Preferred Qualifications

  • Experience using Claude Projects, skills, connectors, or MCP integrations to build repeatable workflows for consulting or delivery work.
  • Experience with M-Files or a comparable enterprise content management platform, including building on its extensibility layer (vault applications, scripting, APIs).
  • Experience with business process analysis or business analysis methods and certifications (e.g., CBAP).
  • Knowledge of cloud-based technologies, including Azure.
  • Exposure to data governance or information security concepts, particularly as they relate to what an AI agent or automation can appropriately access.
  • Experience in a forward-deployed or embedded customer-facing role, or in pre-sales technical scoping and feasibility assessment.
  • Experience building training or enablement materials for a technical team.
  • Working knowledge of networks and authentication methodologies.
  • Knowledge of .NET languages (e.g., C#, VB.NET), data structures, and core programming concepts; comfort working with APIs and common integration patterns.
