About the Role

We are seeking a Clinic Operations Specialist to enable Rula’s Care Delivery expansion by owning the physical readiness and daily management of our Northern California locations. In this role, you will spend your days in the field directly supporting our therapists, managing day to day operations of our clinics, and leading the hands-on setup of brand-new clinic spaces. You will sit within a highly supportive, action-oriented operations team that values real-world problem-solving and collaboration. What you will find most exciting is the direct impact of your work: you aren't just managing spaces, you are building the physical foundation that allows our providers to deliver behavioral healthcare right in our highest need areas.

Required Qualifications

  • 3+ years of hands-on operational experience, with a background in office operations, property management, event management, or customer service.

  • Demonstrated track record of independently identifying and resolving physical or administrative roadblocks (e.g., access controls, lost keycards, inventory, room bookings) with durable, scalable solutions rather than temporary fixes.

  • Full accountability for ensuring daily clinic operations run smoothly, reliably, and efficiently for providers and patients.

  • Strong written and verbal abilities to clear roadblocks and align stakeholders.

  • Ability to serve as the primary local point of contact for therapists, empathetically resolving platform and scheduling issues.

  • Track record of collaborating seamlessly with internal teams, including Support, Marketing, and Provider Success.

  • Proficient in Google Sheets with basic data visualization skills.

  • Ability and eagerness to quickly master proprietary software and operational tools (e.g., custom Ops Apps, Hex dashboards).

  • Must reside in the SF Bay Area with a reliable means to commute regularly across four primary clinic locations: San Francisco, Oakland, San Jose, and Sacramento.

  • Ability to be in-office up to 5 days a week; schedule will flex across locations based on site launches, provider onboarding, and real-time operational needs.

  • Willingness to travel up to ~75% to lead on-the-ground launches for new clinic locations outside Northern California.

Preferred Qualifications

While having the preferred qualifications enhances your candidacy, having all of them is not mandatory. We encourage all interested applicants to apply, even those who may not meet every preferred requirement.

  • 1+ year(s) experience managing physical spaces (e.g., offices, clinics, events, hotels, coworking)

  • 1+ years experience at a high-growth start-up

  • Strong analytical skills with an eagerness to dig deep into office performance data. Ideal candidates will proactively use existing dashboards to report on slot data, track provider sign-ups, and identify office misuse to inform targeted outreach strategies.
