Job Description

You are a strategic operational partner enabling a GM to drive organizational effectiveness across a complex matrix (Product, Engineering, Design, Research, Marketing, GTM). You manage cross-functional coordination, protect executive time, maintain business rhythm, and ensure strategic initiatives stay on track. You operate with business acumen, sound judgment, and significant autonomy. 

Key Responsibilities 

  • Operating Rhythm & Business Cadence.
  • Coordinate annual, quarterly, and monthly business cycles.
  • Maintain weekly exec forums and monthly all-hands as predictable alignment touch points.
  • Work with the GM to proactively shape focus around key business events (board cycles, planning seasons, product launches, financial closes). 

Cross-Functional Coordination 

  • Track major initiatives across functions.
  • Flag dependencies and blockers before they become problems.
  • Facilitate resolution when Product decisions impact Engineering timelines or GTM strategy affects prioritization.
  • Maintain visibility into what's moving, stalled, or at risk across the organization. 

Calendar & Time Management 

  • Protect the GM's calendar for high-impact work.
  • Ensure meetings have clear agendas, right participants, and defined outcomes.
  • Anticipate conflicts between priorities and proactively surface options.
  • Maintain focus blocks for strategic thinking. 

Communication & Alignment 

  • Coordinate all-hands, town halls, and major communications.
  • Support the GM in crafting messaging for organizational moments (new hires, shifts, restructurings).
  • Facilitate listening mechanisms (skip-level meetings, feedback channels).
  • Monitor organizational health signals and morale. 

Strategic Support & Decision Infrastructure 

  • Prepare briefing materials and decision summaries.
  • Track strategic initiatives and maintain visibility into metrics, progress, and blockers.
  • Support executive decision-making forums, design agendas, coordinate input, document action items.
  • Follow up on execution and flag delays. 

Stakeholder Management 

  • Serve as gatekeeper for the GM's calendar, inbox, and time.
  • Route inquiries, prioritize based on business impact, and exercise judgment about what requires direct GM attention.
  • Coordinate with ServiceNow leadership (CEO, CFO, CHRO). Manage board meeting logistics. 

Operational Excellence

  • Continuously improve meeting cadences, decision processes, and organizational structures.
  • Build information systems for tracking initiatives, OKRs, and dependencies.
  • Coordinate team travel, offsites, and events. Manage the GM's office operations and budget. 

Qualifications

  • 7+ years supporting senior executives in complex, matrixed organizations at high-growth tech companies or large enterprises.
  • Proven track record of strategic partnership owning outcomes beyond task completion.
  • Experience coordinating across multiple functional leaders (product, engineering, marketing, finance, etc.). 
  • Business acumen and strategic thinking.
  • Executive presence and credibility at all organizational levels.
  • Sound judgment and absolute discretion with confidential information.
  • Relationship-building skills and organizational awareness.
  • Anticipates issues and brings solutions.
  • Excellent written and verbal communication. Proficient in Microsoft Office, Outlook, Slack, and collaboration tools. 

Preferred Qualifications 

  • Experience supporting a P&L-accountable executive.
  • Background in technology, product, or business operations.
  • Experience designing QBRs, executive forums, or strategic planning processes.
  • Familiarity with HR or organizational design. 

FD21

For positions in this location, we offer a base pay of $104,400 - $138,000, plus equity (when applicable), variable/incentive compensation and benefits. Sales positions generally offer a competitive On Target Earnings (OTE) incentive compensation structure. Please note that the base pay shown is a guideline, and individual total compensation will vary based on factors such as qualifications, skill level, competencies, and work location. We also offer health plans, including flexible spending accounts, a 401(k) Plan with company match, ESPP, matching donations, a flexible time away plan and family leave programs. Compensation is based on the geographic location in which the role is located and is subject to change based on work location.
