Harper is an AI-native commercial insurance company in San Francisco. We're not bolting AI onto insurance — we're rebuilding the entire business as software, on a simple bet: turning expert human judgment into compute is one of the largest transitions left to make, and a trillion-dollar industry still run 90% by hand is the place to prove it. The role in one line

You are the operational backbone of Harper's recruiting function — owning the systems, the scheduling, and the training that let us hire at speed without dropping the bar.

Why this role exists now

At ~100x growth, recruiting infrastructure isn't a nice-to-have — it's how we avoid breaking. We need someone who takes total ownership of the systems and coordination layer so that candidates get a sharp, fast experience and interviewers show up calibrated and ready. This role sits at the center of that.

You're not a scheduler. You're the person who makes sure the machine runs: Ashby is clean and current, group interviews are crisp and well-organized, and everyone walking into an interview knows exactly what they're evaluating and why.

What you'll do

Own Ashby end to end. You are the system administrator for our ATS. You build and maintain job pipelines, keep candidate stages accurate, create scorecards, manage interview plans, configure automations, and ensure the data is clean enough to actually inform decisions. If Ashby is broken or messy, that's your problem to fix.

Coordinate complex interviews. You schedule and run logistics for multi-round interviews and super days — coordinating across candidates, interviewers, and founders without letting anything slip. You manage confirmations, reminders, materials, and debrief structure. You make a complicated process feel effortless to everyone involved.

Train interviewers. You build and run Harper's interviewer training program — onboarding new interviewers to our scorecards, calibrating them on what good looks like, and holding the bar over time. You make sure no one walks into an interview cold.

Be the candidate experience layer. You own communications at every stage — clear, warm, and fast. You make sure candidates know where they stand and feel the seriousness of Harper's process even when the pace is intense.

Support the Recruiting Lead. You work directly with Harper's Recruiting Lead to operationalize sourcing campaigns, keep pipelines healthy, and flag bottlenecks before they become problems. You think one step ahead.

Who you are

  • You're operationally sharp and genuinely enjoy building systems that make other people faster. You care about the details — a candidate stage left in the wrong column or a scorecard with no criteria bothers you, and you fix it without being asked.

  • You've used an ATS seriously before (Ashby experience is a strong plus), and you understand that good recruiting ops is what lets a small team punch above its weight.

  • You communicate clearly and quickly — candidates and colleagues can count on you to follow through.

  • You thrive in fast-moving environments where priorities shift and you have to stay organized anyway.

Requirements

  • 2–4 years in recruiting coordination, HR operations, or a people-ops adjacent role

  • Hands-on experience with an ATS — Ashby strongly preferred

  • Demonstrated ability to coordinate multi-stakeholder interview processes (panels, super days, group interviews)

  • Strong written communication skills; you've been a primary point of contact for candidates

  • Extremely organized; you've managed high-volume scheduling without things falling through the cracks

  • Based in San Francisco or willing to relocate

Nice to have

  • Experience building or running an interviewer training or calibration program

  • Prior work at a high-growth startup (Series A–C environment)

  • Familiarity with structured interviewing methodology and scorecard design

  • Experience working directly with a recruiting or people ops lead in a fast-paced environment

The reality

On-site in San Francisco, Monday–Friday. The hours are long and the pace is high. You'll be a visible part of how Harper presents itself to every candidate we talk to — that matters here.

Compensation & benefits

  • Salary: $85,000–$100,000 + performance bonuses & equity

  • Location: Monday–Friday, San Francisco, in-office
