Role Summary:

Newmark is seeking a creative, organized, and proactive Tenant Engagement Coordinator to serve as the primary point of contact for community engagement and tenant events across our growing commercial office portfolio. As a self-starter who thrives in a fast-paced environment, you will be responsible for creating a vibrant building community, fostering positive tenant relationships, and executing high-quality engagement programs. This role requires a solution-focused mindset, the ability to work independently, and the flexibility to adapt to changing priorities at short notice.

Portfolio & Engagement Responsibilities

This role oversees tenant engagement initiatives for a diverse CRE portfolio in Walnut Creek, San Francisco, Novato, Burbank (CA), Bellevue (WA), and New York. Responsibilities will expand as additional assets are added to the client’s portfolio. This role will be full-time on-site in our Walnut Creek location.

Event Planning

Initiate, plan, promote, and execute a comprehensive calendar of events, including daily & weekly tenant programs, monthly wellness & recognition, annual major events and community outreach. Create and grow relationships with local small businesses and associations to develop programs, activities, creative and unique events for tenants.

Engagement & Strategy

Act as the primary point of contact for the annual tenant survey, coordinating all responses and necessary follow-ups with management teams, develop innovative ways to promote the building’s Green and Healthy Program, research and propose new branded items or amenities to elevate the tenant’s experience, collaborate with Senior Property Managers and Ownership to develop and maintain budgets for all assets. Continuously expand event concepts and community activities across all current and future properties.

Property-Specific Duties 

While supporting the full portfolio, this role provides dedicated on-site support for the Walnut Creek assets. Requirements include operation and management of the building conference centers, production of the weekly building newsletter and assisting with tenant specific communications. This role will serve as the first point of contact for all tenants. 

Manage the Yardi Tenant Portal, which includes coordinating conference center reservations, managing work orders and creating and posting tenant communication pieces. Provide building access card support as primary contact for new, lost and replacement cards. Coordinate access to the building Fitness Center and ensure all legal documentation is received and maintained.

Physical Requirements & Working Conditions

The nature of event coordination and property management requires the following physical capabilities:

  • Mobility: Ability to move frequently across large commercial office properties, including stairs and outdoor common areas, to facilitate events and tours.
  • Lifting & Carrying: Ability to lift, push, pull, and carry event supplies, catering items, and conference room furniture weighing up to 35 pounds.
  • Stamina: Ability to remain on your feet for extended periods during high-traffic events.
  • Travel: Periodic travel to other property sites within the portfolio may be required to oversee event execution or training.

 

Technical Skills & Requirements

  • Software Proficiency: Knowledge of Canva, Constant Contact, Yardi, Monday.com, Microsoft Outlook and Office, and Dropbox.
  • Communication: Exceptional written and verbal communication skills for newsletter curation and tenant interaction.
  • Flexibility: Ability to switch ideas or pivot event plans at the last minute based on tenant needs or ownership requests.

Salary Range Language: 

The expected base salary for this position ranges from $XXXXXX to $XXXXXXXX annually.  The actual base salary will be determined on an individualized basis taking into account a wide range of factors including, but not limited to, relevant skills, experience, education, and, where applicable, licenses or certifications held. In addition to base salary and a competitive benefits package (including health, vision, and dental insurance, paid time off and a 401(k) retirement plan with employer matching), this position may be eligible for additional types of compensation including discretionary bonuses and other short- and long-term incentives (e.g., deferred cash, equity, etc.).
