What You Will Accomplish:
We’re looking for our first full time onsite Workplace Manager to build the backbone of our day-to-day operations at our Headquarters in San Mateo. You will be the face of our company and a culture ambassador.
Office Operations & Facilities:
-Recommend and manage office security systems; including building entry and cameras, NDAs, waivers, etc.
-Oversee office maintenance and promptly address facility issues
-Act as primary liaison between the company and office building management (e.g. repairs, rent payments, building code compliance, etc.)
-Serve as the primary point of contact for all guests: employee visitors, clients, investors, and candidates; helping coordinate travel arrangements as necessary
-Manage the reception area and conference rooms to ensure every guest has a professional and welcoming experience
-Maintain daily office cleanliness, maintenance and organization
-Monitor and maintain office supply inventory including snack and beverage program
-Handle incoming / outgoing mail and packages; distribute incoming mail to appropriate personnel / teams
-Establish and serve as primary point of contact for vendors and service providers
-Maintain office and IT budgets; partnering with Finance on conscious spending while providing best of class systems and atmosphere
-Oversee office space planning, including seating rearrangements and utilization optimization; assist with build-out of expansion / move of office space
-Set up and maintain IT workflows: device procurement and management, new-hire desk setup, wi-fi infrastructure, AV / conferencing systems, platform management, and help inquiries
Team Experience:
-Partner with People to support culture initiatives and help plan and execute team events, happy hours, offsites, celebrations and holiday parties
-Partner with People on planning and executing company All Hands and general company wide meetings
-Support the Talent team through onsite coordination
-Support People and Talent with new hire onsite onboarding
-Partner with People and Finance to ensure all employees have proper onsite budgets (lunch and parking); prior to start date or relocation
-Support visiting executives, investors, partners and special projects
-Adhere to and promote company policies, guidelines and procedures
What We Are Looking For:
- 4+ years of experience in administrative support, office management, facilities coordination and team enablement
- Kind, reliable and trustworthy; understands the importance of building strong relationships across the company regardless of employee’s position and title
- Strong organizational and multitasking abilities and comfortable in a dynamic work environment
- Customer service mindset with attention to detail and handle sensitive information with discretionGreat at problem solving and working independently
- Experience with vendor partnerships and project management
- Tech fluent: expert with Google Workspace, Slack, Notion, and heavy IT troubleshootingOccasionally travel to support company events and office support
