Northrop Grumman - Marine Systems (Operations) is seeking an Administrative Assistant 4 to join our team of qualified, diverse individuals located in Sunnyvale, CA.


What You’ll get to Do:

The Administrative Assistant 4 for the Operations team within Marine Systems will primarily support the Senior Director of Manufacturing and other Manufacturing Directors. The position will coordinate with other Administrative Assistants supporting departmental directors on campus as well as the administrative assistants at the sector and divisional level. The selected candidate should thrive in a fast-paced work environment with high expectations, significantly diverse assignments, and collaborative/team settings across all levels. The position will report directly to the Senior Director of Manufacturing and will have a limited number of direct reports supporting specific assignments.


Position responsibilities include but are not limited to:


Roles and Responsibilities:

  • Support multiple directors in the Sunnyvale, CA location
  • Coordinate meetings: onsite and offsite to include ordering meals, setting up online Zoom and Microsoft Teams
  • Maintaining departmental records for training purposes
  • Support data calls: collection and organization of data using Microsoft Office software (Word, Excel, and PowerPoint)
  • Prepare presentations in PowerPoint including creating and compiling information from multiple sources
  • Booking travel and preparing expense reports
  • Point of contact for administrative manufacturing concerns and questions
  • Work on site full time

Basic Qualifications

  • High School Diploma or equivalent with a minimum of 6 years of experience supporting a variety of executive leaders in a manufacturing/government environment.
  • Computer skills required: Advanced expertise in Microsoft Office software (Word, PowerPoint, Outlook, and Excel).
  • Experience with Confluence or similar system.
  • Excellent organizational skills with the ability to handle multiple tasks, changing needs, and competing priorities.
  • Experience handling complex calendars including coordinating both on and off-site meetings and/or events.
  • US citizenship is required.

Preferred Qualifications:

  • SharePoint (or equivalent) and intranet/internet proficiency.
  • Experience with making travel arrangements.
  • Experience with Concur (or similar) reporting systems for domestic and international travel.
  • Ability to compile/ generate reports and presentations.
  • Complete a wide variety of tasks with minimal supervision and with high quality.
  • Efficiently coordinate Outlook calendars

Primary Level Salary Range: $66,600.00 - $111,000.00

The above salary range represents a general guideline; however, Northrop Grumman considers a number of factors when determining base salary offers such as the scope and responsibilities of the position and the candidate's experience, education, skills and current market conditions.

Depending on the position, employees may be eligible for overtime, shift differential, and a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives. In addition, Northrop Grumman provides a variety of benefits including health insurance coverage, life and disability insurance, savings plan, Company paid holidays and paid time off (PTO) for vacation and/or personal business.
