This role is critical to ensuring our Head of Product, Head of Engineering, and Head of Design can focus on building and shipping world-class products while you manage the operational details that keep everything running smoothly.

As our Administrative Coordinator, you'll own complex calendar management, coordinate cross-functional meetings, and handle ad-hoc projects that arise in a fast-paced product environment. This is an excellent opportunity for someone early in their career who is detail-oriented, thrives in a dynamic environment, and wants to gain exposure to product development operations and leadership.

This role will be in-office 5 days a week.

You Will:

  • Manage complex calendaring for three product leaders, including scheduling meetings, coordinating across time zones, and proactively resolving scheduling conflicts
  • Coordinate logistics for design sprints, user research sessions, and team events
  • Schedule and coordinate cross-functional meetings between Product, Engineering, Design, Sales, Marketing, and Customer Delivery teams
  • Coordinate travel arrangements for the product leadership team, including flights, hotels, ground transportation, and detailed itineraries
  • Serve as a liaison between product leadership and other departments (sales, marketing, finance, operations, etc.)
  • Handle ad-hoc projects and administrative tasks to support the product development team's evolving needs

About You:

  • Highly organized with an eye for detail—nothing falls through the cracks on your watch
  • Resourceful and solutions-oriented—you figure things out and don't wait to be told what to do
  • Adaptable and comfortable with ambiguity—priorities shift, and you roll with it
  • A strong communicator who can interface professionally with executives, engineers, designers, and external partners
  • Tech-savvy and quick to learn new tools and systems
  • Discreet and trustworthy with sensitive product and company information
  • Energized by supporting others and making their jobs easier
  • Comfortable working in-person in a collaborative office environment

You Have:

  • 2+ years of experience in an administrative coordinator, operations coordinator, or similar support role
  • Exceptional organizational skills with meticulous attention to detail
  • Strong written and verbal communication skills
  • Experience coordinating meetings, offsites, or team events
  • Proficiency in Google Workspace (Calendar, Gmail, Docs, Sheets, Slides, Slack)
  • Ability to manage multiple priorities simultaneously in a fast-paced environment
  • Experience managing complex calendars for multiple stakeholders
  • A proactive mindset and ability to anticipate needs before being asked
