About the Role
Executive Assistant Business Partners (EABPs) partner with Uber’s leadership to provide sophisticated administrative and operational support, while also contributing to projects that help drive business priorities and strengthen team collaboration and morale.
For this role, we are seeking an Executive Assistant Business Partner I to support multiple leaders within our Global Talent Acquisition organization. This is a great opportunity for someone who enjoys working in a fast-paced, global environment, anticipating the needs of leaders and teams, and solving complex administrative and operational challenges before they arise.
The ideal candidate is proactive, highly organized, adaptable, and eager to learn and immerse themselves in the business. This role will work closely with leaders, EABPs, and cross-functional partners across Talent Acquisition and the broader People organization.
What You’ll Do
- Manage complex calendars for multiple leaders using Google Calendar, including vetting and prioritizing requests and providing recommendations based on business needs and rapidly shifting priorities.
- Help ensure leaders are properly prepared and on time for meetings, with the appropriate context and materials.
- Coordinate internal and external meetings involving multiple stakeholders, often across teams and global time zones.
- Contribute to leadership and team meetings by taking notes, tracking action items, and supporting follow-up.
- Navigate the intricacies of supporting multiple leaders across a global organization and a complex conference room and hybrid working environment.
- Partner with other EABPs to support event planning and coordination for leadership meetings, team meetings, All Hands, summits, offsites, and other team events.
- Make domestic and international travel arrangements and process travel expense reports based on direction from travelers.
- Draft detailed travel itineraries and provide remote assistance with logistics and travel arrangements, including visa processing when needed.
- Follow up and provide reminders on project deadlines, action items, and deliverables.
- Assist with ensuring the timely review and submission of expenses.
- Support onboarding and other team operational and administrative needs.
- May assist with facility and space planning logistics.
- May preview and provide feedback regarding team expense reports and assist with managing leaders’ or teams’ morale budgets.
- May provide backup support to cover leaves or other administrative vacancies across the organization.
- Work on other tasks and projects as assigned.
Basic Qualifications
- Minimum 2+ years of administrative experience
Preferred Qualifications
- Minimum 4+ years of administrative experience
- Minimum 2+ years of experience supporting a VP-level leader or above in any scoped business or a Director-level leader or above in a global business
- Bachelor’s degree or equivalent practical experience
- Experience with Google Workspace, including Google Calendar
- Experience supporting multiple leaders
- Excellent communication skills with the ability to build strong relationships with both internal and external stakeholders
- Demonstrated ability to prioritize leaders’ calendars and make judgment calls and recommendations based on rapidly shifting priorities
- Experience working in a fast-paced, often-changing environment with efficiency and accuracy
- Ability to take initiative and ownership over sometimes ambiguous tasks and situations with little oversight
- Strong organizational skills with a high attention to detail
- Experience coordinating projects, events, or team initiatives
- Experience with budget management
- Ability to work with confidential information and exercise appropriate discretion
- Experience working in a complex, matrixed, and global environment
- Background working in the technology industry
For San Francisco, CA-based roles: The base hourly rate range for this role is USD $44.24 per hour - USD $49.04 per hour.
You will be eligible to participate in Uber's bonus program, and may be offered an equity award & other types of comp. All full-time employees are eligible to participate in a 401(k) plan. You will also be eligible for various benefits.
