Job Description

Overview

ServiceNow is seeking a highly organized and proactive Executive Assistant to support a Vice President within the Builder Community, Developer Relations, and Developer Marketing organization. This role is ideal for someone who thrives in fast-paced environments and enjoys creating structure, building operational excellence, and helping leadership teams execute effectively.

Beyond traditional calendar management, this role serves as a key operational partner to the leadership team. The successful candidate will help coordinate planning rhythms, improve visibility across priorities, support business operations, and ensure decisions are translated into action.

Success in this role requires strong organizational skills, sound judgment, attention to detail, and the ability to work across multiple stakeholders and initiatives simultaneously.

What You Will Do:

Leadership Operations & Business Rhythm:

  • Coordinate recurring leadership team meetings and operating cadences
  • Prepare agendas, pre-reads, and meeting materials
  • Capture decisions, action items, owners, and follow-up activities
  • Maintain planning calendars across annual, quarterly, monthly, and weekly business rhythms
  • Support leadership effectiveness by ensuring priorities, dependencies, and decisions remain visible

Business Reviews & Goal Management:

  • Support the planning and tracking of organizational goals and objectives
  • Coordinate reporting cycles, progress updates, and business reviews
  • Help consolidate updates, risks, and action plans across teams
  • Maintain reporting materials and supporting documentation
  • Assist with quarterly planning sessions and retrospective reviews

Work Intake & Organizational Coordination:

  • Coordinate incoming requests and leadership priorities
  • Maintain visibility into active projects, ownership, timelines, and dependencies
  • Identify scheduling conflicts, competing priorities, and resource constraints
  • Support consistent execution of team operating processes
  • Prepare organizational summaries and status reporting for leadership review

Communications & Team Engagement:

  • Coordinate team communications, updates, and leadership messaging
  • Support team meetings, town halls, and engagement initiatives
  • Help organize recognition programs and team celebrations
  • Coordinate recurring team programs and communication rhythms
  • Foster connection and engagement across distributed and remote teams

Executive Support:

  • Manage complex calendars and scheduling priorities
  • Prepare briefing materials and meeting background information
  • Track commitments, action items, and follow-up activities
  • Draft communications and support stakeholder outreach
  • Ensure leaders are prepared for key meetings and engagements

Planning, Operations & Administration:

  • Maintain integrated planning calendars across business milestones, launches, events, hiring activities, and reviews
  • Support onboarding activities, hiring processes, and organizational transitions
  • Coordinate travel, expenses, procurement activities, and operational logistics
  • Help improve processes, documentation, and workflow efficiency
  • Identify opportunities for automation and operational simplification

Qualifications

To be successful in this role you have:

  • Experience in leveraging or critically thinking about how to integrate AI into work processes, decision-making, or problem-solving. This may include using AI-powered tools, automating workflows, analyzing AI-driven insights, or exploring AI's potential impact on the function or industry.
  • 3 to 5 years of experience supporting VP level
  • Highly organized with exceptional communication skills and ability to manage a variety of high-priority projects from multiple management and professional levels
  • Desire to grow and take on your own projects
  • Professional demeanor and soft skills
  • Positive and personable can-do attitude
  • Proficient in Zoom, Microsoft Office suites (Word, Excel, PowerPoint, Outlook), Box, Concur and Google Docs
  • Experience handling confidential materials
  • Ability to travel 10-15% (Vegas, Santa Clara, San Diego)

 

For positions in this location, we offer a base pay of $104,400 - $172,300, plus equity (when applicable), variable/incentive compensation and benefits. Sales positions generally offer a competitive On Target Earnings (OTE) incentive compensation structure. Please note that the base pay shown is a guideline, and individual total compensation will vary based on factors such as qualifications, skill level, competencies, and work location. We also offer health plans, including flexible spending accounts, a 401(k) Plan with company match, ESPP, matching donations, a flexible time away plan and family leave programs. Compensation is based on the geographic location in which the role is located and is subject to change based on work location.
