Who?

You're an AI-pilled, recruiting operations expert who's seen what it looks like when talent systems actually work at scale and you have the workflows and projects to prove it. You combine deep technical fluency in Ashby and the broader recruiting tech ecosystem with a builder's instinct: you don't just configure tools, you architect systems that make a whole recruiting team better. You thrive in fast-paced startup environments where you’re driving real change.

Be the first hire for this function. Own the end-to-end recruiting operations function, from architecting our Ashby configuration and integrations to building AI tooling, automating reporting, and leading enablement across the talent team and beyond. You'll be both the strategist and the builder.

What You'll Do in Your First 6–12 Months
  • Own Ashby end-to-end – Configure and continuously optimize our ATS: pipelines, scorecards, workflows, automations, custom fields, and integrations with the broader recruiting stack.

  • Build AI and automation tooling – Identify opportunities to automate manual tasks and build AI-powered workflows that make recruiters faster and candidate experience better—think automated outreach sequencing, AI-assisted screening, and intelligent pipeline triage.

  • Stand up recruiting analytics – Design and automate reporting dashboards so the talent team and company leadership always have real-time visibility into pipeline health, funnel metrics, time-to-hire, and offer acceptance rates.

  • Lead recruiting enablement – Create training, documentation, and playbooks that help recruiters get the most out of our tools and processes; run onboarding for new team members on recruiting systems.

  • Drive continuous improvement – Regularly audit recruiting workflows, identify bottlenecks, and ship iterative improvements. Treat recruiting ops like a product: always be testing.

  • Partner with the SVP of People – Serve as a strategic thought partner on recruiting infrastructure, headcount planning tooling, and org-wide talent reporting.

  • Manage vendor and tool relationships – Evaluate new tools in the Ashby ecosystem (LinkedIn, Gem, Greenhouse integrations, etc.), run pilots, and make clear build-vs-buy recommendations.

  • Launch and scale recruiting coordination – Establish and grow a high-performing recruiting coordination function that delivers a seamless candidate and interviewer experience. Hire, onboard, and manage recruiting coordinators, define team processes and service levels, and create the systems, documentation, and quality standards needed to support a rapidly growing hiring organization.

What You Bring
  • 3–6 years of experience in recruiting operations, talent operations, or a closely related role, ideally with time in a high-growth startup environment.

  • Deep Ashby expertise – You know Ashby inside and out: advanced workflow configuration, custom reporting, API/webhook integrations, and the broader ecosystem of tools that plug into it. Ashby power-user or admin experience is a strong plus.

  • Recruiting ops at scale – You've built or meaningfully improved recruiting infrastructure at a company that was hiring fast; you understand the difference between a system that works for 10 open reqs and one that works for 100.

  • Builder mentality – You've built AI or automation tooling in a recruiting context—whether through no-code platforms, prompt engineering, or lightweight scripting. You're not afraid to get your hands dirty.

  • Analytical chops – Comfortable building dashboards and automating reports; SQL or spreadsheet-level data fluency required.

  • Strong communicator and enabler – You can translate complex system logic into clear documentation and training for a non-technical audience.

  • Ownership mindset – You don't wait for tickets. You identify the problem, scope the fix, and ship it.
