The Foundation for California Community Colleges generates and manages more than $200 million in annual revenue to support 116 California community colleges and the students they serve. The Resource Development Department leads this work, and the Resource Operations and Insights (ROI) unit within it develops and manages the systems, data, reports, and processes that ensure the organization delivers with excellence on its commitments to donors and funders. This includes Salesforce content management, grant agreement compliance, revenue reporting to the Board of Directors and executives, and coordination across program and finance teams.

What You’ll Do

The Grants Management Coordinator supports the full lifecycle of active grants within the ROI unit, with a focus on grant contracting, reporting, data integrity, and cross-functional coordination. The coordinator manages the contracting process for new grant agreements, maintains accurate records in Salesforce, tracks deadlines and deliverables using Asana, prepares materials for funder reports, and coordinates with program and finance teams to meet grant requirements. The ideal candidate is highly organized, detail-oriented, and motivated by collaborative work that directly supports the organization's mission. A quick learner with 1 to 2 years of experience supporting grants, this person takes pride in accuracy, follows through on complex multi-step processes, and brings a genuine commitment to successful team outcomes.

  • Coordinate the contracting process for new grant agreements, including distributing award letters, coordinating grant agreement reviews, securing authorized signatures in compliance with FoundationCCC policy, documenting progress in Salesforce, and completing information requests communicated at the time of award.
  • Facilitate the transition of new grants from development and contracting to active grants management by collaborating with the grants development team on sync-up meeting materials, extracting key information from grant agreements, and preparing accurate first drafts of transition documents.
  • Manage grants management workflow in Asana by tracking tasks, scheduling reminders, monitoring deadlines, and flagging revisions to scopes of work, budgets, and key dates for internal and external stakeholders.
  • Coordinate grants management meetings, including scheduling, preparing and distributing materials in advance, taking accurate notes, and documenting follow-up items. Manage the shared email inbox by triaging incoming messages, routing for response, logging activity in Salesforce, and tracking follow-up. Maintain the grants management SharePoint site, including folder structure and document permissions.
  • Build and maintain relationships with colleagues across departments to coordinate on the management of grants and competitive contracts, and contribute to broader ROI initiatives, special projects, and process improvements that support efficiency across Resource Development.

Attributes for Success

  • Minimum of 1.5-2 years of work experience in an administrative capacity supporting grants in a grants development or grants management office.
  • Proficiency, or willingness to develop high proficiency, with Salesforce CRM and Asana work management platform. Ability to quickly master new software.
  • Experience with complex scheduling and meeting coordination is a plus.
  • Careful attention to detail, including the ability to extract data from documents and accurately enter it in a database, and to spot typographical errors and other inconsistencies.
  • Experience with the California Community Colleges is a plus.
