Gordon Rees Scully Mansukhani, a national law firm with offices in all 50 states, has an immediate opening for an Administrative Recruiting Specialist in our Walnut Creek, CA office. This position serves as the primary recruiting contact for administrative positions, partnering with hiring managers and the office administrative team to coordinate and manage the recruitment process. This role manages ATS workflows, job postings, candidate records, screening, offer letter documentation, pre-employment steps, and related recruiting administration while ensuring compliance with Firm policies and applicable employment laws. They will be a strategic business partner providing hands-on operational and strategic Human Resources support for the firm based out of our Walnut Creek Office.

Responsibilities: 

  • Act as the primary recruiter for positions within the administrative division of the firm, understanding the various roles and responsibilities and building strong relationships with key stakeholders.
  • Ensure hiring practices are in compliance with company policies.
  • Write and place job postings, as well as assist with job posting optimization; partner with the recruiting to team to ensure positions are posted accurately.
  • Manage the ATS process and facilitate the ATS workflow with Administration Hiring Managers.
  • Maintain all agency/recruiting MSAs, as well as a log of all employees hired through agencies
  • Assist in direct sourcing of candidates, when needed.
  • Composes and maintains job descriptions and postings for the firm.
  • Collect, maintain, and prepare data and reports for review; track basic recruiting and personnel metrics.
  • Remain current with recruiting trends and best practices.
  • Ensure all screening, hiring, and selection are done in accordance with employment laws and regulations and with company policies
  • Supports offer letter coordination and closing out candidates, pre-employment steps, and other administrative details tied to hiring for the administrative division.
  • Assist with researching compensation for open roles—benchmarking, leveling, and evaluating candidate profiles against internal levels, role scope, and market data.
  • Keep recruiting activities organized, efficient, and moving with urgency.
  • Maintain all candidate records within the applicant tracking system, including entering and updating applicant information, uploading application documents, candidate status tracking and generating reports.
  • Assist with drafting offer letters.
