This position is based out of the San Francisco office; it is primarily in-office, but some hybrid schedule is possible once onboarding and orientation is complete.
Primary Responsibilities
The IT Coordinator will report to the IT Manager and is responsible for the maintenance and roll out of IT hardware + software systems for the firm. The IT Coordinator will support the IT Manager to develop and execute the strategic plan for firm-wide technology systems and infrastructure and help ensure the plan complements broader firm-wide initiatives.
This individual will serve as the first point of contact for end users, providing timely and effective technical support across hardware, software, and cloud-based applications in a fast paced environment.
Although we do have some Windows machines and servers, as well as many Windows VMs, we are primarily a Mac firm, and so some familiarity with macOS/iOS and Mac/iPhone/iPad hardware is a must.
User Support
- Support new hire onboarding by setting up computers, accounts, email access, and required software
- Complete all offboarding steps for departed employees (account closures, email forwarding, data archiving, etc.)
- Provide helpdesk support for all staff members
- Interface with vendors and product support teams to resolve user issues for software and hardware systems
- Create user training documentation and deliver training sessions
Technical Hardware/Software Support
- Orchestrate patching of all computers to ensure they have the latest security + OS updates, drivers, and applications are up-to-date
- Manage our Jamf environment Ensure that major OS upgrades are compatible with ArchiCAD and all other mission-critical design and productivity apps
- Perform repairs on computers and other hardware
- Coordinate with vendors to perform repairs/swaps for repairs outside in-house ability
- Assist with rolling out upgrades on hardware infrastructure as determined by IT strategy (servers, networking equipment, printers, plotters, TVs, alarm system, security cameras, patch cables, keyboards, mice, etc.)
- Provide support with building, maintaining, and upgrading the render farm of PCs
- Assist with retirement of old equipment, including proper disposal and/or appraisal and sale.
- Assist with the upgrade cycle and trickle-down of user computers
- Set up, maintain, and troubleshoot AV equipment for conference rooms, presentations, and office-wide meetings
- Perform other duties as assigned by IT leadership
Administrative
- Maintain hardware + software inventory
- Manage IT processes documentation (workstation setup, new hire provisioning, user termination, critical app configurations, etc.)
- Collaborate with IT Manager, BIM Manager + Finance Team to track spending in accordance with IT budget
Research + Development
- Test out emerging technologies identified by IT Manager, assess for staff use, and provide support rolling out.
Qualifications
- 3+ years experience administering IT systems required, in a design-related field preferred
- Bachelor’s Degree in Information Technology or a related field preferred
- Deep knowledge of Windows and macOS, Windows Server administration, networking concepts (TCP/IP, DNS, etc), hardware + software troubleshooting
- Basic knowledge of productivity apps (Google Workspace, Slack, MS Office, Adobe Creative Cloud Suite, etc.)
- Ability to provide a high-touch, customer-first support experience that reflects the quality and care of the premium architecture service we provide. Excellent communication skills and an ability to clearly, warmly, and proactively ensure users feel heard, respected, and guided at every step. An emphasis on effective communication with people of all technical and seniority levels, and an ability to communicate complex and esoteric IT concepts in a way that is accessible to people in non-technical roles.
- Ability to manage time well, stay focused, and set and meet accurate timeline and financial goals on projects; simultaneously, an ability to be nimble and flexible to shift focus when emergencies or other urgent needs arise unexpectedly
- Detail-oriented with a focus on accurate and up-to-date documentation
- Willingness to periodically work unusual hours as needs require, including nights, weekends, and some holidays
- Can handle ambiguity well and navigate complex troubleshooting with limited information
- Ability to maintain strong composure and cordiality even in high-stress situations

The hiring base annual salary range for this position will be shared when actively recruiting for this role, as required by law. Any offer of compensation will be determined by a candidate’s education, skills, and experience as assessed during the interview process.
