About the role

We're looking for a Recruiting Coordinator to help us deliver an exceptional candidate experience and help build the operational foundation that allows our team to hire quickly without compromising on quality.
You'll work closely with our recruiting team, hiring managers, and leaders across the company to coordinate interviews, manage candidate communication, and keep our hiring processes moving. You'll also have the opportunity to improve how we partner internally and get exposure to the full recruiting lifecycle.  This is a great opportunity for someone who is exceptionally organized, proactive, and excited to build a career in people & recruiting while helping scale a fast-growing startup.

What you’ll do
  • Own interview scheduling and coordination across multiple teams/searches, including complex onsite and virtual interview loops.
  • Partner closely with recruiters, hiring managers, and interviewers to keep hiring processes moving quickly and efficiently.
  • Create an exceptional, high-touch candidate experience from initial interview through offer, candidates always know what to expect and each touchpoint feels intentional.
  • Manage onsite interview logistics and help create a thoughtful, welcoming experience for candidates visiting our offices - manage candidate onsites at our SF office IRL.
  • Keep Ashby, ModernLoop, Notion docs, Juicebox and our other recruiting systems accurate and up to date, ensuring interviews, feedback, and next steps don't fall through the cracks.
  • Identify scheduling conflicts, process bottlenecks, and candidate experience issues, and proactively fix it. Use data and a bias toward problem-solving to make our process better.
  • Help build and improve recruiting processes, workflows, templates, and systems as our hiring volume grows (using AI to automate repetitive tasks whenever possible)
  • Support the broader employee experience through onboarding, recruiting events, and other projects as needed
What you’ll bring
  • 1-3+ years of work experience in recruiting coordination or another role that rewarded speed, organization, and communication. Startup experience is a huge plus.
  • Exceptional verbal and written communication. Clear, warm, and concise, and stays calm under time pressure.
  • Strong sense of urgency and the ability to move quickly without sacrificing quality
  • Comfortable working with senior leaders and managing frequently changing schedules and priorities
  • Attention to detail. Time zones, room bookings, interviewer swaps, you catch it before anyone else does.
  • Ownership + self-direction. You're comfortable with ambiguity and don't wait to be told what's next - you thrive in fast-moving environments where processes are still being built
  • A genuine interest in hiring, creating a great experience and in the people side of building a company.
  • Availability to work from our San Francisco office at least 3 days per week, (Tuesday, Wednesday and Thursday)

In addition to our unique culture, Hex proudly offers a competitive total rewards package, including but not limited to, market-benched salary & equity, comprehensive health benefits, and flexible paid time off.

The salary band for this role is: $80,000 - $100,000.

Placement in the salary range will be decided upon completion of the interview process, taking into account factors like leaving room for growth, internal fairness & parity, your demonstrated skills, and the depth of your experience. Our Recruiting team will be able to provide more details during the interview process.
