Function as primary client liaison and lead for assigned programs. Manage meetings and events from sourcing to planning, delivery of objectives and execution of logistics, while effectively working with clients. Responsible for coordination of program planning from venue sourcing to to final billing. Work closely with client contact to understand and meet program objectives/outcomes.

What You'll Do:

  • Manage end-to-end program delivery by building project timelines and workflows with clients and suppliers to ensure timely, accurate execution
  • Use the program management system to oversee all phases from venue sourcing through onsite execution and final reconciliation
  • Source, negotiate, and manage contracts with hotels/venues (via CVENT), destination management companies, air providers, and other third-party suppliers; monitor attrition, cancellation terms, and service fulfillment
  • Coordinate with IT on web-related needs and collaborate with the creative team to develop program materials
  • Organize and, when needed, attend site inspections
  • Consolidate program details into a comprehensive itinerary and working agenda outlining all requirements and logistics
  • Partner with internal teams to manage registration and air travel, lead status updates, and maintain communication throughout the program lifecycle
  • Support events of varying complexity, including large-scale, confidential, and international programs
  • Source and contract additional third-party suppliers as required
  • Conduct post-program debriefs with clients when applicable
  • Maintain proactive, clear communication with clients and interested parties to align on expectations and ensure satisfaction
  • Collaborate with internal teams and external partners to deliver program objectives
  • Lead regular status meetings from planning through execution, ensuring milestones are met
  • Manage VIP and executive-level projects as needed, including overseeing specialized logistics and incentives
  • Build and maintain strong relationships across client and supplier organizations
  • Continuously review processes and recommend improvements
  • Develop and maintain accurate program budgets and forecasts, updating systems as needed
  • Review and validate financials, partner with accounting on final billing, and ensure accuracy prior to client invoicing
  • Maintain complete and accurate records, system entries, and documentation in accordance with company and client policies

What We’re Looking For

  • Passionate about meetings management and client management experience
  • Strong prioritization skills
  • Excellent written and verbal communication skills
  • Flexibility to travel internationally and domestically up to 25%-30% of the time
  • Comprehensive Cvent experience
  • CMP +
  • West Coast Location - required

The US national base salary range for this position is from 

$55 300,00 - $102 700,00

The national range provided includes the base salary that Amex GBT expects to pay for the role.  Actual base salary will be based on factors including the scope and complexity of the role and the successful candidate’s relevant experience, skills, knowledge, and work location.
