About the Role

Databricks is looking for a highly capable, process-driven, and proactive Executive Assistant to support a Senior Leader within Product & Engineering, while also supporting our SVP of Corporate Development & Ventures.

The primary mission of this person is to support our Engineering and Product leaders, partnering with them to operationalize their teams' cross-functional strategies. You will serve as a key liaison across various departments—including Sales, Marketing, IT, and other critical functions—to ensure alignment and execution. Additionally, you will drive strategic initiatives and community events that foster collaboration across the Engineering and Product organizations.

While deeply rooted in supporting a massive internal engineering footprint, this high-visibility, fast-paced role sits at a unique intersection. You will also manage the rhythm of a deal-driven corporate development environment, triaging incoming requests from startups, founders, and investors, and handling highly sensitive, confidential information with absolute discretion.

The Impact You Will Have

  • Effectively prioritize the calendar and schedule meetings in a timely manner.

  • Execute strategic initiatives well, delivering on defined outcomes.
Responsibilities
  • Calendar Management: Organizes all meetings across international time zones, including but not limited to internal engineering team meetings, customer meetings, internal business partners, and external venture/M&A requests.
  • Request Tracking & SLAs: Builds and maintains records of all meeting requests and closes out all requests in a timely manner. Keeps to a strong SLA on responding to requests from both internal technical staff and external stakeholders (founders, investors, bankers).
  • Meeting Preparation: Ensures all meeting invites have the appropriate details, context, and documentation to have an effective meeting, protecting executive focus time.
  • Event Management: Manages offsite meetings, events, and programs in support of the leaders and their staff, ensuring team events, leadership dinners, or investor meetings are executed with polish and precision.
  • Operational & Travel Support: Manages briefing materials, executive correspondence, and select domestic and international travel, anticipating needs before they are expressed to keep leaders operating at full capacity.
  • Confidentiality & Discretion: Handles sensitive, non-public information—including product roadmaps, M&A targets, term sheets, and board-level matters—with the judgment and professionalism appropriate to that trust.
  • Team Coverage: May be required to support other executive staff members if there's a coverage gap due to PTO, sickness, maternity leave, or other absences.
Competencies & Qualifications
  • Minimum of 7+ years of applicable executive administrative experience, ideally from a global software organization.
  • Proven track record working with VPs/SVPs in Engineering and Product in large organizations.
  • Experience working with VPs managing over 2000+ people in engineering, customer-facing, and/or technical roles.
  • Ability to work at a fast pace with shifting priorities in a hyper-scaling, high-growth company, with experience directly supporting an executive staff member.
  • High attention to detail, organization, and process abilities; structured thinking with an operational mindset that can bring order to chaos.
  • Strong calendaring skills (Gmail and Google Calendar experience mandatory).
  • Strong relationship management skills and the ability to build a personal network throughout the company; you earn trust quickly and know how to work through organizational complexity.
  • Strong teamwork skills, and a confident ability to offer suggestions and improvements to the process, and work very collaboratively with others.
  • Strong oral and written communication with the ability to communicate clearly and effectively with senior leaders, developers, and external partners.
  • Technology Fluency: A genuine curiosity about technology, high-growth companies, and the AI/data landscape. Comfortable dealing with engineers, technical leaders, and opinionated entrepreneurs.

Pay Range Transparency

Databricks is committed to fair and equitable compensation practices. The pay range(s) for this role is listed below and represents the expected salary range for non-commissionable roles or on-target earnings for commissionable roles.  Actual compensation packages are based on several factors that are unique to each candidate, including but not limited to job-related skills, depth of experience, relevant certifications and training, and specific work location. Based on the factors above, Databricks anticipates utilizing the full width of the range. The total compensation package for this position may also include eligibility for annual performance bonus, equity, and the benefits listed above.
