Responsibilities:

Project Coordination & Execution

  • Assist project leaders in identifying and resolving project risks, dependencies, and resource constraints.
  • Track project performance against established milestones, timelines, and objectives.
  • Prepare clear, concise project communications and presentations for stakeholders at all organizational levels.

Portfolio Management & Strategic Prioritization

  • Assist with maintaining portfolio dashboards, roadmap views, prioritization tools, and governance materials that enable data-driven decision-making.
  • Help collect, organize, and synthesize project and program information from cross-functional teams to support portfolio reviews, leadership updates, and strategic planning discussions.
  • Monitor portfolio dependencies, milestones, capacity considerations, and key decision points to help identify potential conflicts or opportunities for alignment.
  • Contribute to the development and continuous improvement of portfolio management processes, templates, metrics, and reporting standards within the PPMO.

Process Improvement & Operational Excellence

  • Identify opportunities to streamline workflows, reduce administrative burden, and improve project execution efficiency.
  • Develop standardized templates, documentation, dashboards, and reporting mechanisms.
  • Support continuous improvement initiatives across the PPMO and broader organization.
  • Apply structured problem-solving techniques to improve business processes and team effectiveness.

Technology & Digital Enablement

  • Serve as a power user and advocate for Microsoft 365 tools, including Teams, SharePoint, Excel, PowerPoint, Outlook, OneNote, Planner, and Copilot.
  • Help establish and maintain organized, scalable project workspaces and information repositories.
  • Explore and evaluate emerging software solutions that improve collaboration, project visibility, and operational efficiency.
  • Support the adoption of project management tools and best practices across teams.

AI Innovation & Automation

  • Leverage AI-powered tools to enhance project planning, documentation, meeting management, reporting, and knowledge sharing.
  • Experiment with and recommend innovative ways to apply AI and automation to business processes.
  • Stay informed on evolving AI technologies and identify practical opportunities to improve productivity across the organization.

Cross-Functional Collaboration

  • Build strong relationships with diverse stakeholders across technical, scientific, operational, and business functions.
  • Communicate effectively with audiences ranging from laboratory scientists and engineers to senior business leaders.
  • Facilitate information sharing, alignment, and decision-making across project teams.

Minimum Education, Experience, & Specialized Knowledge (Required):

  • Demonstrated organizational skills with exceptional attention to detail.
  • Ability to work independently, manage competing priorities, and take ownership of assigned work.
  • Strong analytical, problem-solving, and critical thinking abilities.
  • Demonstrated aptitude for learning new technologies, systems, and processes quickly.
  • Ability to adapt and respond effectively in a dynamic, fast-paced environment.
