The Role

As our People and Culture Coordinator, you will report to the VP of People and Culture, finding and attracting new team members to our organization and supporting their employee experience with J/PR. You will support programs that match the same level of service for our employees that J/PR’s hospitality clients are known for. Our People and Culture Coordinator supports HR functions by managing employee onboarding, recruitment, and engagement initiatives to foster a positive workplace culture. You will act as a liaison for employee questions, handle administrative tasks in HRIS systems, and help implement company policies and benefits, collaborating cross-functionally with our accounts team members, IT, Biz Ops, and agency leadership throughout the entire employee lifecycle.

This is a hybrid role based in our San Diego headquarters, requiring 3 days a week in the office, with additional days as-needed for onboarding new hires. At this time, local candidates will be prioritized. 

 

Duties and Responsibilities

Talent Acquisition 

  • Coordinate with the Vice President of People and Culture and People Department to support staffing needs for all departments 
  • Draft and post job listings on JazzHR, promoting other digital recruitment platforms, updating internal job descriptions as needed
  • Manage the full-cycle recruitment process for all open roles, ever-changing agency environment
  • Maintain ongoing relationships with a large passive talent pool
  • Attend job fairs to recruit entry-level talent

Onboarding & Training

  • Coordinate cross-functionally with HRIS Administrator, IT, Biz Ops, Finance, and other offices to facilitate pre-boarding communication, equipment requisition, and all necessary tasks for in-person and remote onboarding
  • Manage all logistical aspects of the hybrid instructor-led training schedule, ensuring seamless onboarding for in-person hires in San Diego and remote participants across the other 8 offices
  • Collaborate with the Training and Education Committee to maintain up-to-date training programs, suggesting improvements based on onboarding feedback
  • Coordinate new hire announcements and introductory meetings with relevant team members and office leads across the organization

Internship Program Management

  • Coordinate three annual Student Internship Programs (Spring, Summer, Fall), with support from internship and office leads
  • Facilitate the selection, placement, ongoing mentorship, and offboarding of interns throughout the program
  • Develop and manage the internship curriculum, with support from Internship Leads, ensuring consistency across all participating offices and a strong talent pipeline for entry-level positions

Talent Management

  • Administer cyclical performance reviews and engagement surveys in Lattice, our performance management system
  • Prepare committee and leadership reports on engagement survey results
  • Support the agency Partners by managing the collection and compilation of direct report feedback during performance cycles

HR Administration

  • Ensure data integrity and timely reporting of personnel changes (promotions, transfers, terminations) within internal HR systems
  • Ensure adherence to employment laws, hiring compliance, performance management, and safety
  • Maintain documentation of training, organizational structure, and agency policies 

Experience & Qualifications

  • College Degree or comparable experience required, preferred studies in human resources management or a related field
  • 2 years of recruitment or HR experience leading at least one program (internships, training, etc.)
  • Adaptable and agile, able to work independently with a sense of urgency and prioritize multiple ongoing projects with competing deadlines
  • Skilled at collaborating with cross-functional stakeholders in a high-touch, hybrid environment
  • Experience with Lattice or other performance management systems preferred
  • Familiarity with hiring regulations and compliance issues
  • Basic knowledge of media and news cycles
  • Basic understanding of Facebook, Twitter, and Instagram
