Position Description:

Modern Family Law, a boutique law firm specializing in Family Law, is looking for a compassionate, innovative, and detail-oriented Talent Acquisition Operations Specialist to work remotely near one of our locations. Modern Family Law offers dynamic compensation, a wide array of benefit selections, and a culture built on family.

The Talent Acquisition Operations Specialist supports the Talent Acquisition team by managing recruiting operations, coordinating the interview process, administering the Applicant Tracking System (ATS), and supporting Talent Acquisition initiatives.

This role is responsible for keeping the recruiting process organized and efficient while allowing recruiters to focus on proactively identifying, engaging, and building relationships with both active and passive legal talent. The Talent Acquisition Operations Specialist will also support recruiting projects and process improvements as the Talent Acquisition function continues to grow.

To be successful in this role, the incumbent in this position would be expected to do the following:


Recruiting Operations

·       Coordinate interviews post recruiter phone screen through final interview.

·       Manage interview scheduling and candidate communications.

·       Prepare, revise, and distribute offer letters.

·       Coordinate pre-employment activities, including background check tracking and HR handoffs.

·       Create, post, update, and close job requisitions.

·       Maintain recruiting documentation, templates, and recruiting resources.

·       Ensure candidate records and recruiting activity remain accurate within the Applicant Tracking System (ATS).

·       Support recruiters and hiring managers throughout the recruiting process.

ATS Administration & Reporting

·       Maintain the Applicant Tracking System by ensuring requisitions, candidate records, templates, and workflows remain accurate and up to date.

·       Perform routine audits to maintain data integrity and reporting accuracy.

·       Support the Director of Talent Acquisition with ATS updates, reporting requests, and system enhancements.

·       Identify opportunities to improve data quality and recruiting workflows.

Talent Market Research

·       In partnership with the Director of Talent Acquisition, research family law attorneys through legal directories (e.g., AVVO, FindLaw, Justia), state and local bar associations, affinity bar associations, CLE events, and other professional organizations to build targeted talent lists.

Talent Acquisition Programs

·       Partner with the Director of Talent Acquisition on recruiting projects, initiatives, and process improvements, including creating Standard Operating Procedures (SOPs).

·       Assist with maintaining recruiting playbooks, templates, and Standard Operating Procedures.

·       Support implementation of new recruiting programs and tools.

·       Help identify opportunities to improve recruiter efficiency and the candidate experience.

·       Other duties and projects as assigned.


What Success Looks Like

Within Your First 90 Days, You Will:

·       Build strong working relationships with recruiters, hiring managers, Human Resources, and key business partners.

·       Ensure interview scheduling, offer administration, background checks, and onboarding handoffs are completed accurately and timely.

·       Maintain accurate Applicant Tracking System (ATS) data and support reliable recruiting reporting.

·       Establish consistent communication with candidates throughout the offer process to improve the overall candidate experience, offer acceptance, and onboarding completion rates.

·       Partner with the Director of Talent Acquisition to develop talent research resources that support proactive attorney recruiting efforts.

Reduce the administrative workload on recruiters by effectively managing recruiting operations, allowing recruiters to focus on proactively identifying, engaging, and building relationships with both active and passive legal talent.


Requirements

·       As our culture is remote-first, all employees are expected to have the capability to work from home with a reliable internet connection and maintain a workstation that supports productive work during normal business hours.

·       Two to four years of experience supporting Talent Acquisition, Recruiting Operations, Human Resources, or recruiting coordination.

·       Experience working with an Applicant Tracking System (ATS).

·       High level of proficiency with Microsoft Office products, including Word, Excel, and PowerPoint, as well as Adobe and Zoom conferencing technology.

·       Strong organizational and time management skills.

·       Excellent written and verbal communication skills.

·       High attention to detail and accuracy.

·       Ability to manage multiple priorities in a fast-paced environment.

·       Experience supporting recruiting in a professional services or legal environment preferred.

·       Experience using LinkedIn Recruiter and conducting online research preferred.

·       Familiarity with legal directories, bar associations, or other professional organizations preferred.

·       Ability to communicate professionally and interact effectively with all levels of personnel, including management and support staff.

·       Ability to be a proactive self-starter who understands the details within a much larger context.

·       Demonstrated attention to detail, reliability, and the ability to quickly learn new technology.

·       Excellent customer service skills and the ability to manage multiple priorities simultaneously in an organized manner with minimal supervision.

·       Flexibility and the ability to respond quickly and positively to shifting priorities.

·       Ability to work under pressure and meet deadlines.

·       Ability to sit for extended periods while using a computer, keyboard, and mouse.

·       Ability to communicate effectively both verbally and in writing using telephone, text messaging, and email.

·       Ability to work evenings and weekends as necessary to address routine or emergent business needs.

·       Ability to stand, sit, bend, and lift items weighing more than 10 pounds from ground level to waist or eye level.

Should a candidate or incumbent require accommodation, they need to advise the Director of People & Culture in advance. Compensation and Benefits: Salary Range for CA: $65,000 - $77,000. This range is a reasonably reliable estimate of the base salary that this role is expected to receive. Actual pay will be adjusted based on experience, location, and other job-related factors permitted by law.
