About the role
The UX Design Operations Coordinator is a six-month contract role supporting Arlo's User Experience organization. This role helps the UX team operate efficiently and maintain clear visibility across a portfolio of software, hardware, and service experiences. The coordinator will partner closely with Design leadership, designers, Product Management, Engineering, Program Management, and other business partners to keep priorities, resources, timelines, dependencies, decisions, and deliverables aligned.
This is a highly collaborative, detail-oriented role for someone who enjoys bringing structure to complex work, improving team processes, and keeping projects moving. The role is focused on operational excellence rather than visual design execution.
What you'll be doing

·   Partner with UX Design leadership to coordinate the team's project portfolio, priorities, capacity, and key deliverables across mobile, web, hardware, and platform experiences.

·   Maintain project plans, schedules, milestones, status, dependencies, risks, and action items; proactively surface issues that could affect delivery.

·   Coordinate design resourcing across projects and help leadership identify capacity gaps, competing priorities, and opportunities to rebalance work.

·   Provide clear, concise project and portfolio visibility for stakeholders, including regular updates on priorities, resource utilization, milestones, risks, and decisions.

·   Act as an operational bridge between Design, Product Management, Engineering, Program Management, and other cross-functional partners to ensure dependencies and handoffs are understood and managed.

·   Own or facilitate the UX design intake process, helping teams capture requests, clarify scope and timing, assess priority, and route work appropriately.

·   Identify opportunities to improve UX workflows, tools, documentation, asset management, and team rituals; help implement practical changes that increase efficiency and reduce friction.

·   Coordinate key design reviews, planning sessions, workshops, and leadership meetings, including agendas, materials, action items, and follow-through.

·   Connect related work across products, features, platforms, and initiatives; identify potential collisions, duplicated effort, or gaps and work with partners to resolve them.

·   Support quarterly and annual planning by consolidating project commitments, resource needs, timelines, and operational risks into a clear view for UX leadership and business partners.

·   Help maintain operational systems and reporting used by the UX organization, including project trackers, planning tools, documentation, and shared team resources.

·   Bring together business goals, customer needs, technology, design intent, and execution realities so teams can make informed decisions and keep work progressing.

What you should have

·   Bachelor's degree or equivalent practical experience.

·   Experience in design operations, design program management, project management, agency operations, or a closely related role.

·   Experience working with creative or UX teams and an understanding of how to introduce useful process and structure without slowing creative work.

·   Strong project management skills, including the ability to organize complex programs, prioritize competing needs, manage schedules, and follow through independently.

·   Excellent communication and collaboration skills, with the ability to work effectively across Design, Product, Engineering, and business teams.

·   Strong attention to detail and comfort managing multiple workstreams, dependencies, and deadlines at the same time.

·   Experience with project tracking, planning, documentation, and collaboration tools; familiarity with tools such as Smartsheet, Jira, Confluence, Figma, or similar platforms is a plus.

·   Experience working in an Agile product development environment.

·   Ability to create clear status reports, presentations, trackers, and other operational materials for a range of audiences, including senior leadership.

·   Understanding of UX design and product development processes; familiarity with qualitative and quantitative user research is a plus.

·   Experience supporting hardware + software or connected-device products is a plus, particularly mobile, web, IoT, or smart-home experiences.

·   Comfort working in a fast-paced environment where priorities can evolve and ambiguity needs to be turned into action.

Contract scope

This is a six-month contract position designed to provide experienced operational support to the UX Design organization. The successful candidate will be expected to quickly establish relationships, understand existing workflows and priorities, and provide immediate structure and continuity across the team's active portfolio.

What success looks like

·   UX leadership has a clear, current view of project priorities, resourcing, milestones, and risks.

·   Cross-functional partners understand ownership, dependencies, timing, and next steps.

·   Design requests are captured, prioritized, and routed through a consistent process.

·   Project and team operations are organized, documented, and easy to navigate.

·   The UX team spends less time on operational friction and more time focused on delivering high-quality customer experiences.
